ArtsWestchester’s Grants Department manages an annual grants pool of $2 million in available funds, supported by the state legislature and Westchester County government. ArtsWestchester seeks a full-time professional to assist in the operation of its grassroots grants programs as the Community Arts Manager. The successful candidate will report to the Director of Grant Programs, and assist the Director and the Associate Director with facilitating ArtsWestchester's competitive grants-making process while conducting outreach to local artists and cultural organizations.

General Responsibilities - Grants Administration (50% of time effort)

  • Manage Community-focused grants programs including Yonkers and Mount Vernon Arts Initiatives, and Art$WChallenge matching grant program. Monitor submissions and provide periodic updates to Director and CEO
  • In coordination with Director and Associate Director of Grant Programs: develop grant cycle timelines; prepare grant guidelines; provide guidance to applicants/grantees year-round. Host information sessions/webinars.
  • Attend grantee performances, pending schedule and availability. Oversee site visit scheduling.
  • Draft grant contracts in all categories for Director’s approval, monitor submission of contracts and reports
  • With Director and Associate Director, prepare staff funding recommendations for Grants Committee and Board.
  • Prepare application and report forms in Submittable. Troubleshoot grantee technical issues with Submittable (example: finding where to edit application; submitting a report)
  • Assist with and attend grantee receptions

Services to the Field (50% of time effort)

  • Professional development – assist Director and Associate Director with logistics and planning for professional development programs
  • Prepare check requests and monitor the disbursement of grant payments; coordinate with business office.
  • Outreach to potential panelists, and facilitate grant panel meetings
  • Schedule meetings with grantees and Grants Committee, as needed.
  • Advocacy – attend budget hearings as needed

Ideal candidate experience and background:

Minimum 3-5 years relevant experience in nonprofit administration, experience in arts and culture/arts administration a plus. Bachelor’s degree preferred, or equivalent relevant work experience. Proficient in Microsoft Office Suite. Reliable access to transportation throughout lower Hudson Valley.
