Reports to: Associate Director, Volunteers & Visitor Services 

 Scope:

The Coordinator supports the Volunteers & Visitor Services Department which recruits, trains, and schedules 125+ volunteers who serve in many public-facing roles at Carnegie Hall including tours, concert patron assistance, and the information desk, among other assignments. This role assists with both front of house and administrative tasks in a fast-paced environment. The coordinator will help manage daily group tour operations and give tours as needed. This role responds quickly and accurately to customer service queries, private group tour operator requests, and volunteer questions by email and phone. The coordinator is an integral part of a larger marketing team and works with many departments including the Gift Shop, Development, Artistic and House Operations, Ticketing, and the Weill Music Institute. This position assists the Associate of Volunteers & Visitor Services with the weekly and monthly scheduling of volunteer shifts across multiple volunteer areas. The coordinator will assist the Associate Director with marketing campaigns for promoting tours and volunteer recruitment through emails and social media. The coordinator also helps maintain Visitor Services spaces and materials and assists with related assignments. This individual is a collaborative member of the Volunteers & Visitor Services team and will work in conjunction with an associate and two part-time staff who share duties in the Gift Shop.

Responsibilities: 

• Assists in managing public and private group tours and coordinates with House Management, Box Office, and docents to facilitate daily tour operations. 

• Provides in-person tours as needed for private, public, and VIP groups.

• Responds accurately and quickly to customer service queries, private group operators, and volunteer inquiries by email and phone. 

• Generates tour invoices, manages payments, and provides receipts to tour operators. 

• Helps with scheduling private group tours and monthly/weekly volunteer shifts.

• Assists with marketing campaigns to promote tours and volunteer recruitment.

• Supports volunteer recruitment, interviews, training, scheduling, and appreciation events.

• Research volunteer engagement and enrichment initiatives.

• Maintains the Volunteer Lounge and other Volunteers & Visitor Services spaces.

• Additional administrative and clerical tasks as needed.

Qualifications: 

• Engaging and outgoing personality who enjoys working with others in diverse group settings.

• Strong customer service mindset with great written and verbal communication skills, administrative skills, and phone etiquette. 

• A quick learner who is self-motivated to complete tasks in a timely manner.

• Excellent organizational and time management skills, with a strong eye for detail.

• Enjoys a fast-paced environment while working independently and collaboratively both within and across departments.

• Robust knowledge using Microsoft Office Suite required, particularly Excel and Word. 

• SharePoint and Tessitura experience a plus. 

• Occasional holidays, Saturday daytime and early evening work are necessary based on program needs.
