Congresswoman Rashida Tlaib (MI-12) is seeking a DC Staff Assistant that greets visitors, answers the telephone and answers constituent requests for general information, tours, and other inquiries. This position also monitors delivery and pickup of materials, maintains the front office, and assists with various administrative duties.

ESSENTIAL JOB FUNCTIONS:

o  Answers and screens telephone calls for the Congresswoman and other staff members and takes messages when appropriate; Leads and draft administrative support 

o  Maintains a welcoming and organized front office while greeting and screening visitors;

o Provides and/or coordinates staff-led or self-guided tours of the Capitol and other federal agencies for constituents and other guests; Follow up and complete constituent requests for flag, White House and U.S. Capitol tours and other agency tour requests; 

o  Assists persons who have appointments with the Congresswoman or staff and works closely with the Congresswoman’s Scheduler to ensure that the Member’s appointments are on time and that the Scheduler is aware of the visitor's arrival; assisting with staffing of meetings as required or needed; 

o  Answers constituent mail and e-mail in both form and individual responses in coordination with the legislative team and other staff;Tracks and updated Constituent mail log including gifts received; Tracks commendation and greeting requests received from stakeholders and constituents; Assist with drafting commendations and greetings as needed;

o  Maintains literature regarding the district and other House offices for distribution to visitors;

o  Purchases supplies for the office from the House Office Supply store as instructed by the Operations Director; Support Operations Director with office supply management and inventory tracking and technology tracking.

o  Signs for deliveries and forwards all materials delivered to the office to appropriate staff members in a timely manner;

o  Organizes general email box for the office; Ensures that requests for assistance are directed to the appropriate staff member in a timely manner; 

o  Documents visitor opinions on issues communicated via telephone, including full name, address, and inputting all relevant information as appropriate into our internal system IQ; Assisting with constituent services intake for assignment;

o  Performs general typing and administrative assignments;

o  Supports onboarding and management of House Paid Internship program for the office with the support of Director of Operations

o  Maintains a good working relationship with the Congresswoman, staff and constituents;

o  Accepts performance based criticism and direction;

o  Possesses a temperament to communicate with a variety of personalities in a tactful, pleasant, and professional manner;

o  Works cooperatively and courteously with others;

o  Meets attendance requirements as established by the office;

o  Works well under pressure and handles stress;

o  Works a flexible schedule including long hours, nights, and weekends as needed according to the Congressional schedule;

o Performs special projects assigned by the Congresswoman, Director of Operations or Chief of Staff; Performs or supports all other duties as assigned.

QUALIFICATIONS:

• Self-starting and detail-oriented; exceptional phone etiquette; proficiency in Microsoft word and excel; strong research, writing and communication skills;

• Solution-oriented, with core competency to problem-solve and balance for a fast-past work environment;

• Excellent and strong organizational and editing skills;

• Ability to receive constructive feedback on work products and work cooperatively with other office teams on various projects and tasks;

• Availability to assist with staffing needs for the Congresswoman and office staff, as required;

• Ability to exercise discretion and independent judgment to complete tasks, including but not limited to writing assignments, tour requests and more in a timely manner; and

• Experience with managing the CMS management system of Intranet Quorum; other resident communication platforms.

The starting salary for this position is $55,000 with some flexibility based on experience. The Office is unionized and offers robust, competitive benefits.
