POSITION SUMMARY
The Development Admin plays a key role on the Development team, supporting the Director of Development in all fundraising activities including grant research and application, donor stewardship, and communications efforts. This highly organized and detail-oriented individual is the glue that keeps fundraising operations running smoothly and efficiently.
The ideal candidate will have skills in database administration, event planning & execution, and relationship management. Must have the ability to meet deadlines, handle a fast-paced environment, has initiative & motivation, and achieve results in a team environment. The position is based in Tulsa, OK.
ESSENTIAL FUNCTIONS & DUTIES
Donor Database & Stewardship
- Maintain accurate donor, prospect, sponsor, and contact records and generate reports and mailing lists.
- Process and record donations, pledges, recurring gifts, memorials, tributes, acknowledgements, and tax receipts.
- Process, coordinate, track, and acknowledge all in-kind donations.
- Support donor stewardship through thank-you communications, donor recognition, impact updates, and other engagement activities.
- Maintain confidentiality and accuracy of donor and financial information.
Fundraising, Events & Grant Research and Execution
- Support fundraising campaigns, initiatives, and off-site fund and supply drives.
- Coordinate logistics, materials, registration, communications, and follow-up for fundraising and third-party events.
- Assist with sponsorships, donor recognition, guest lists, and event materials.
- Maintain the grants calendar, including application, reporting, and renewal deadlines.
- Research foundation, corporate, and community grant opportunities in coordination with the Director of Development.
- Assist with grant applications, supporting documentation, submissions, and reports; maintain grant files and track awards and reporting requirements.
- Assist with donor, prospect, and funder research and follow-up.
Development Administration & Support
- Maintain organized development records and files.
- Assist with fundraising calendars, mailings, campaigns, reports, and department projects.
- Prepare correspondence, spreadsheets, reports, and other development materials.
- Coordinate with Finance to ensure donations and fundraising activities are accurately documented and reconciled.
- Provide administrative support to the Director of Development.
- Represent the Tulsa SPCA professionally with donors, sponsors, businesses, foundations, volunteers, and community partners.
- Perform other development-related duties as assigned.
POSITION REQUIREMENTS
Education/Experience
- College Degree or Equivalent (2 year minimum, prefer Bachelors Degree).
- 1-3 years of relevant experience in fundraising, event planning, nonprofit administration, or a related field.
- Familiarity with donor database software (experience with Bloomerang a plus).
- Excellent organizational skills and attention to detail.
- Strong interpersonal and customer service skills as well as excellent verbal and written communication skills.
- Available to work varied shifts and extended hours as required.
- Flexible and adaptable to fast paced environments and stressful situations.
- Ability to work both independently and as part of a collaborative team.
- Passion for animal welfare and alignment with our mission.

Physical Environment
- Primarily an office setting when not working offsite events or assisting with special projects.
- Exposure to odors, wet, humid, and dusty conditions, airborne particles, fur, hair, animal waste, and various cleaning chemicals and supplies.
- May be exposed to sick, injured, and aggressive animals.
- Ability to bend, walk, reach, push, pull, sit, and stand for extended periods of time.
- Travel to area events/locations in year-round weather conditions.
- Noise level is moderate to high.
- Possibility of being bitten or scratched by animals.
- Must be able to lift up to 50lbs – loading and unloading for events, bags of dog/cat food for in-kind room, etc.
SCHEDULE
FT position, schedule can vary. Weekends, evenings, and holidays will be required at times.
