Job Summary
The Development and Events Coordinator is responsible for administrative and logistical duties related to fundraising and special event planning. This position enters all gift entries and donor acknowledgments using the organization’s donor database system, Blackbaud’s Raisers Edge NXT. Will provide logistical support of all events (Storybook Ball, Radiothon and other special donor recognition events).
Essential Duties, Responsibilities & Functions

Donor Data Management (60%)
- Enters gifts received including all cash, online, and gifts-in-kind via numerous channels, using detailed coding.
- Inputs and updates all donor records from external platforms, including volunteer meal groups and families served, ensuring accuracy and consistency across systems.
- Works with Director of Donor Operations and Events to review and update constituent and gift coding to provide meaningful reports and to enable effective fundraising strategies.
- Generates timely gift acknowledgement letters and annual tax forms.
- Processes mail return and address updates.
- Research duplicate records.
- Collaborate with Marketing & Communications Department to ensure that thank you letters are accurate and updated periodically.
- Updates donor records with new information including credit card information, notes, actions, attachments, etc.
- Uses Raiser’s Edge Import and Export features as needed to record actions and generate lists for mailings, thank-you calls, and other follow-up.
- Ensures data integrity and security.
- Generates accurate reports and mailing lists using the query function for month-end reporting, reconciliation, and cultivation purposes.
- Works with outside vendors and partners as needed to facilitate data-sharing.
- Creates and maintains email lists for monthly newsletters and periodic special emails for Marketing, Fundraising, and Volunteer Manager use.
- Handle Double the Donation activities to increase matching donations.
- Assists in all special data updating projects such as family data, meal program, and McDonald’s to ensure effective reporting.
- Works with Director of Donor Operations and Events on monthly reconciliation between Raiser’s Edge and QuickBooks.
- Seeks opportunities for bonus funds on CO Gives Day and works with Marketing & Communications Department to promote.
Events (25%)
- Works closely with Director of Donor Operations and Events and event planning committees in planning and execution of fundraising events (including Storybook Ball, Radiothon, Forever Families and special donor recognition events).
- Maintains the Silent and Live Auction tracking and entry in Raisers Edge and GiveSmart.
- Handles content of GiveSmart for Storybook Ball and other events as needed, exploring new functionality when appropriate.
- Works closely with volunteers on the Silent and Live Auction including packaging, displays, set up, and distribution of items.
- Provides excellent donor, sponsor, and event participant support by answering and providing solutions to questions.
Administrative Responsibilities (10%)
- Assists with mailings by coordinating with mail house on direct mail pieces.
- Prepares and assembles all donor welcome packets for mailing; manages all in-house mailings.
- Responsible for ordering, inventory, and distribution of department swag and promotional materials.
- Works with Marketing Manager to ensure that all online presence is accurate and current. This includes Colorado Gives Day, Benevity, Community Health Charities, and others.
- Provides instruction and training to other RE NXT users as requested.
- Creates McDonald’s related reports as needed for both internal and external audiences.
Other (5%)
- Assists in other general fundraising activities, as needed.
- Participates in speaking engagements and attends internal and external fundraising events as assigned.
- Provides support for sub-committee, workgroup, and Board of Directors as needed.
- Provides support to volunteers as needed.
Education, Experience & Abilities
- Associate’s degree or equivalent combination of education and experience; bachelor’s degree preferred.
- 2-3 years of experience in donor database management, event planning and coordination, administrative support and data entry and reporting.
- Proven ability to work effectively with volunteers and external vendors.
- Basic understanding of account principles for gift and pledge tracking.
- Strong written and verbal communication skills.
- Willingness and ability to work occasional weekends and evenings as needed for events.
- Proficiency in Microsoft Office Suite (Outlook, Excel, Word, PowerPoint), SharePoint, Teams and other relevant tools.
Physical Requirements
- Ability to perform physical requirements of an office-based position, including sitting, standing, lifting up to 25 pounds on an occasional basis, and operating office equipment.
- Ability to travel from one House to another, or to other locations and meeting venues.
- Ability to handle typical noise conditions with working in an office environment.
This is a full-time, exempt position, with the expectation of working 40 hours per week. The general work schedule will be Monday - Friday, to include some evenings and occasional weekends. This position is eligible for all full-time benefits, including health, vision, dental, at 100% for employee only, long-term disability, life insurance, an Employee Assistance Program (EAP), and a retirement savings benefit (eligible after the waiting period), paid time off, and sick leave.
