Job Description

Now Hiring: Development Administrative Assistant

Location: Latham, NY (Hybrid Eligible!)

Status: Full-Time, Non-Exempt

Experience: 3-5 Years Office Experience

Are you the "Master of the Database?"

The Regional Food Bank is looking for a Development Administrative Assistant who is organized, accurate, and mission-driven. In this role, you are the backbone of our fundraising efforts. You aren't just entering data; you are ensuring that every donor feels seen, every gift is recorded, and every thank-you letter is sent with care. If you have "Advanced" Excel skills and a "Main Character" focus on detail, we want you on our Development team!

Your Impact (The Role):

You will provide vital administrative support to our Development department, acting as the guardian of our donor database and a key player in our public relations events.

Key Responsibilities:

  • Database Guardian: Manage a high volume of donor information with "Top Tier" accuracy. You'll record various donation types and handle system batching to keep our records "Locked In."
  • The "Thank You" Expert: Generate and send thank-you letters to our donors in a timely manner. You are the voice of gratitude for our organization.
  • Reporting Pro: Create custom reports and provide donor insights to support our fundraising team's strategy.
  • Department Anchor: Manage calendars, answer calls, and keep the office running smoothly so the team can focus on feeding the community.
  • Event All-Star: Attend and participate in company fundraising and public relations events-bringing the "Food Bank Aura" to the public!
  • Collaborative Spirit: Work independently and across departments to support our goal of providing millions of pounds of food to our neighbors.

Who You Are:

  • Qualified: High school diploma/equivalency required; an Associate's degree is a major plus.
  • Tech Savvy: You have advanced knowledge of Word, Excel, and Outlook. If you've used Raiser's Edge or Import-o-matic, you're already a step ahead!
  • Detail-Oriented: You have a "Verified" ability to manage data without letting anything slip through the cracks.
  • Great Communicator: You have excellent written and verbal skills and love working in a professional, team-oriented environment.

The Work Vibe:

  • Hybrid Flexibility: This position is eligible for our work-from-home option! While we love seeing you in the office, we support flexible work arrangements with supervisor approval.
  • Professional Setting: Primarily a typical office environment, though you may occasionally step into the warehouse or attend outdoor events.
  • Physical Needs: Includes extended periods of computer use and visual concentration. Lifting is light (normally under 30 lbs).

Why the Regional Food Bank?

We are committed to a workplace where everyone feels included, respected, and valued. By joining our Development team, you are directly fueling the logistics that served 48 million pounds of food to our neighbors last year.
