Overview
The Development Department at The New York Public Library raises funds from private sources to support the mission and vision of The New York Public Library. The team is made up of a dynamic group of development and events professionals who together represent expertise in all areas of fundraising, including individual, corporate, foundation and government grants, special events, membership, planned giving, and systems management. The Development Department raises over $20 million in Annual Fund and more than $90 million overall each year. 

The Associate of Development Events will play an integral role in the planning, preparation, and execution of high profile fundraising events including the Library Lions Gala and the Library Lunch as well as other special donor and membership events as needed.

We are looking for someone we can count on to:

Own:
  • A portfolio of Development events and manage the execution and planning in an effort to maximize donor engagement and fundraising
Teach:
  • Donors, prospective supporters, and event attendees about The New York Public Library’s mission to ensure free and open access to information and ideas
Learn:
  • Raiser’s Edge database and event-related data entry, reporting, list management, and gift processing procedures
Improve:
  • Event processes to enhance the donor experience
Some expectations for this role are that within:

1 month, this person will:
  • Meet Development staff and other key internal stakeholders (Special Events, Public Programs) and understand NYPL organizational structure
  • Become familiar with event policies, procedures, and timelines
  • Work with the Development Service Bureau to process gifts and provide acknowledgements to donors
3 months, this person will:
  • Independently manage the donor acknowledgment process and update donor records in Raiser’s Edge
  • Actively participate in meetings and provide speaker suggestions for upcoming events
  • Engage with donors at events as well as via email and phone correspondence 
6 months and beyond, this person will:
  • Oversee a portfolio of select Development events
  • Improve upon processes as needed
Responsibilities
  • Manage operational tasks related to benefit and stewardship events including preparing mailing lists and invitations, updating fundraising data in database, scheduling meetings and events, conducting donor and prospect research, drafting agendas and correspondence, taking RSVPs and making follow-up calls, and updating event web pages
  • Research and propose ideas for relevant and engaging event speakers
  • Assist with the processing and preparation of acknowledgement letters for event contributions in a timely manner
  • Manage event calendars, oversee staffing needs and responsibilities for events, create memoranda for Senior leadership in advance of events
  • Assist with the management of event revenue tracking and expense budgets in conjunction with the Special Events team
  • Provide support at other Development events
  • Perform other related duties as required

Required Education, Experience & Skills

Required Education & Certifications
Bachelor’s Degree
Required Experience
1-3 years of fundraising and/or event experience
Required Skills 
  • Strong project management skills and able to manage multiple projects, deadlines, and stakeholders
  • High degree of initiative, organization, and follow-through
  • Able to work independently
  • Excellent written communication and interpersonal skills
  • Demonstrated ability to interact effectively with all levels of staff, donors, and the public 
  • Excellent computer skills including MS Word and Excel
