The Development Associate serves as a key administrative and operational partner within the Development Department. Reporting to the Donor Relations Manager, this role supports the full Development team by ensuring the accurate and efficient execution of gift processing, donor acknowledgment, data management, reporting, and coordinated team operations. In doing so, the Development Associate helps strengthen donor relationships and contributes to the overall effectiveness and growth of the organization’s fundraising efforts.





This position is ideal for a proactive, detail-oriented professional who values strong systems, organization, and the role that thoughtful, efficient processes play in meaningful donor engagement.



 



Key Responsibility Areas:



Annual Fund & Gift Management




  • Process all donations and ensure timely, accurate gift acknowledgment through Salesforce CRM

  • Partner with Finance to reconcile gifts and support monthly reporting and audit processes

  • Manage acknowledgment workflows across donor segments and campaigns, including maintaining and updating templates

  • Maintain database integrity by ensuring accurate donor records, documentation, and reporting standards in collaboration with the Donor Relations Manager

  • Oversee matching gift and workplace giving programs, including portal management, tracking, and follow-up with donors and employers

  • Contribute to the planning and execution of major Habitat Philadelphia events as needed

  • Collaborate cross-functionally to support both operational and strategic priorities of the Development team

  • Pursue ongoing professional development and bring forward new ideas and best practices



Development Fund Operations




  • Provide administrative and operational support to ensure strong coordination and execution across the Development team

  • Prepare and process donor and volunteer stewardship mailings

  • Respond to general donor inquiries and support campaign-related communications

  • Assist in the preparation of reports, donor lists, and post-campaign summaries

  • Support cross-functional Development initiatives and broader organizational priorities



Development Leadership & Gift Officer Support




  • Coordinate administrative support for Development leadership, including scheduling, meeting preparation, and materials development

  • Support campaign efforts, including scheduling meetings and preparing donor profiles and presentation materials

  • Prepare agenda’s and update materials to present for Resource Development Committee Meetings

  • Prepare and maintain materials for Gift Officer donor meetings, including presentations, dashboards, and giving reports

  • Manage portfolio tracking in Salesforce, including moves management, data entry, and record maintenance

  • Partner with the CEO’s Executive Assistant on development-related priorities, including board giving reports and documentation



Cross-Departmental Support




  • Provide flexible, as-needed support to Development team initiatives and departmental priorities

  • Collaborate with cross-functional teams (e.g., Marketing/Communications, Finance, Programs) to support integrated projects and donor-related efforts

  • Assist with special projects, events, and campaigns, including coordination, logistics, and follow-up

  • Support data and reporting requests across departments, ensuring accuracy and timely delivery

  • Help troubleshoot administrative or operational challenges, identifying solutions and escalating as needed

  • Maintain clear and timely communication with internal stakeholders to ensure alignment on shared priorities

  • Provide accurate and timely ad-hoc mailings and donor communications
