About The Role

The Executive Administrator provides high-level administrative, organizational, and operational support to the CEO. This role requires exceptional discretion, strong judgment, and the ability to manage complex schedules, communications, and priorities in a fast-paced environment. The Executive Administrator acts as a trusted partner to leadership, ensuring efficiency, confidentiality, and smooth daily operations. This role plays a critical part in advancing the organization’s mission by ensuring efficient executive operations, strong board support, and effective communication with donors, partners, and community stakeholders.

What You Will Do:

  • Manage executive calendars, including scheduling meetings, travel arrangements, and appointments
  • Prepare agendas, presentations, reports, and briefing materials
  • Act as a primary point of contact between executives, staff, board members, donors, and external partners
  • Screen and prioritize emails, calls, and correspondence, ensuring timely follow-up
  • Coordinate executive meetings, board meetings, and Leadership Retreat
  • Take accurate meeting minutes and track action items
  • Support cross-functional initiatives and follow up on deliverables
  • Support organizational planning, special initiatives, and cross-departmental projects
  • Assist with budget tracking, expense reports, and invoice processing
  • Maintain accurate, confidential records and donor-sensitive information
  • Represent the organization professionally in interactions with community partners and funders
  • Identify opportunities to improve processes and administrative efficiency

Who You Are:

Experience:

  • 5–7+ years of experience supporting senior executives
  • Experience supporting C-suite or board-level executives
  • Project management or operations experience
  • Ability to work independently and manage competing priorities

Skills:

  • Exceptional organizational and time-management skills
  • Strong written and verbal communication abilities
  • High level of professionalism, discretion, and confidentiality
  • Proficiency in Microsoft Office/Mac and scheduling tools

Education:

  • Bachelor’s degree and/or equivalent experience/training.

Employment Details:

Workplace: We are an office-based organization with a hybrid work option. This position requires three in office days per week.  This position will include some travel about 10-15%

Compensation: Salary offers are determined based on final candidate qualifications and experience.  The budgeted hourly rate that CAFB expects to pay for this position is $33.80 - $38.83 per hour.
