Position Overview
We are seeking a proactive, energetic, and detail-oriented Executive Assistant to support the CEO's efforts in advancing its mission. This position is ideal for someone who thrives in a dynamic, fast-paced environment, enjoys organizational and administrative tasks, and is excited about contributing to meaningful, pro-democracy political work in Missouri.
The role is full-time, in-person, and comes with employee health care benefits and generous paid time off, contingent on performance and organizational needs.
Key Responsibilities
- Fundraising Support
- Help with scheduling, follow-up, and editing materials for donors, investors, and board members.
- Support a volunteer fundraising committee to maximize productivity and buy-in for fundraising.
- Ensure timely acknowledgement of donations, such as thank-you notes and tax receipts, including delegating to volunteers and contractors as much as possible.
- Scheduling personal fundraising emails, voicemails, and text messages.
- Administrative Support
- Schedule and prepare for meetings, including drafting and organizing agendas and compiling and editing necessary materials for board members, donors, the steering committee, the CEO of Show Me Integrity, and the Campaign Manager for Respect Missouri Voters.
- Log, deposit/scan, and organize receipts, checks, invoices, and materials for accountants. Ensure proper functioning and access for credit cards, bank accounts, online donation portals, billing, and other platforms that require administrative access. Assist with payroll.
- Assist with drafting, reviewing, and managing contractor agreements, including editing templates.
- Manage correspondence and scheduling for SMI’s CEO, and scheduling for the campaign manager and steering committee. Liaise with staff, contractors, and partners to ensure smooth communication, coordination, and execution.
- Document and Presentation Creation
- Help draft and edit slide decks, graphics, and documents for internal and external use.
- Utilize AI tools to assist in drafting materials and increasing efficiency.
- Operational Support
- Track and ensure timely follow-up on key projects, deliverables, and tasks.
- Support traveling operations, including booking, scheduling, and managing reimbursements.
- Maximize volunteer leadership, input, and work to support the campaign’s operations and mission.
- Delegate tasks to volunteers and other team members effectively.
Qualifications
- Required Skills and Experience
- Excellent organizational and time management skills.
- Strong written and verbal communication and editing skills.
- Proficiency in Google Workspace (Docs, Sheets, Slides, etc.), Canva, and Microsoft Office (Word and Excel).
- Comfort with using new software and AI tools to draft materials and streamline tasks.
- Ability to manage multiple priorities and meet deadlines in a fast-paced environment where prioritizing and delegation are key.
- Preferred Skills and Experience
- Previous experience as an Executive Assistant or in a similar administrative role.
- Proficiency in Canva and Customer Relationship Managers (CRMs) is a plus.
- Familiarity with mission-driven organizations or campaigns.
- Experience with project and team management.
Compensation and Benefits
- Salary: $55,000 - $75,000, based on experience and skills.
- Additional pay and benefits:
- Health insurance reimbursement plan up to $400/month.
