Position Overview
The Fundraising Coordinator supports the day-to-day execution of fundraising operations for the North America fundraising team. This role is responsible for maintaining accurate donor data, preparing high-quality donor communications, and supporting fundraising events and campaigns.
The role works closely with fundraisers and supports multiple stakeholders across time-sensitive workflows. Given the pace and complexity of the team’s work, this position requires someone who can quickly take ownership of core responsibilities, operate with minimal ramp-up, and manage multiple priorities with a high degree of accuracy and reliability.
Responsibilities
Donor Data & Development Operations (35%)
- Maintain accurate and up-to-date donor records in Salesforce NPSP, including creating records, updating data, and logging donor interactions
- Support relationship managers (fundraisers) by ensuring donor activity, communications, and portfolio data are accurately tracked and maintained
- Establish and maintain consistent workflows for donor data management, including coordination with Global Business Operations and internal systems
- Respond to data requests and support reporting, pipeline tracking, and analysis to inform fundraising strategy and portfolio management
- Prepare and export donor data for communications and campaigns (e.g., Annual Report, year-end giving, events) with a high degree of accuracy
- Track donor engagement activity across portfolios to support coordinated relationship management
- Ensure all donations are properly documented and aligned with donor intent; follow up as needed to obtain required documentation
- Maintain shared team resources (SharePoint, trackers, documentation, meeting notes) to support team efficiency and consistency
Fundraising Materials & Donor Support (30%)
- Draft, edit, and format donor-facing materials for relationship managers, including briefing notes, proposals, reports, presentations, and correspondence
- Prepare donor briefing materials and background research to support fundraiser meetings, including those involving senior leadership
- Support relationship managers in managing mid-level donor outreach ($1,000–$9,000 range), including drafting communications and conducting basic prospect research
- Assist in preparing and distributing donor communications (e.g., annual report summaries, campaign emails), ensuring accuracy and alignment with messaging
- Deliver high-quality communications for key campaigns and moments (e.g., International Literacy Day)
Events & Donor Engagement (20%)
- Support relationship managers in planning and executing fundraising events, including the New York gala and smaller donor gatherings
- Manage RSVP tracking, guest lists, and event communications with a high level of accuracy and organization
- Prepare and review event materials, including donor listings, program content, and recognition items
- Track event commitments and revenue, coordinate timely follow-up with fundraisers, and support post-event reporting
- Coordinate with internal teams and global stakeholders to ensure smooth communication and execution across time zones
Team Coordination & Administration (15%)
- Manage scheduling of internal and cross-functional meetings, including coordination for relationship managers’ donor meetings
- Prepare expense reports and support travel logistics in line with organizational policies
- Support procurement processes, including vendor coordination, quotes, approvals, and documentation
- Provide day-to-day administrative and coordination support to the North America Development team
- Build working knowledge of organizational systems and stakeholders, including knowing when and where to seek input beyond the immediate team
What Success Looks Like
- Maintain accurate and timely CRM data, including logging donor interactions and ensuring strong data hygiene
- Effectively manage competing priorities and deadlines with minimal follow-up
- Deliver clear, polished donor communications and materials with limited revisions required
- Support seamless execution of events and campaigns, including accurate tracking, follow-up, and reporting
- Provide reliable pipeline tracking and data support that enables informed fundraising decisions
- Demonstrate high responsiveness and collaboration across stakeholders and time zones
Qualifications
- 1–3 years of experience in a coordination, operations, fundraising, or administrative role in a fast-paced environment
- Experience maintaining and updating data in a CRM or database (Salesforce or similar strongly preferred), including timely logging and data accuracy
- Proven ability to manage multiple priorities and deadlines simultaneously across competing requests
- Strong attention to detail and accuracy, particularly in data management, reporting, and documentation
- Excellent writing ability, with experience drafting and editing clear, polished donor-facing communications and materials
- Ability to produce high-quality work with minimal revisions, particularly for written outputs and presentations
- Experience supporting relationship managers, fundraisers, or senior stakeholders, including preparing materials, tracking activity, and following up on requests
- Experience supporting events, logistics, or stakeholder coordination, including tracking, communication, and follow-up
- Ability to respond quickly and reliably across multiple stakeholders and time zones in a fast-paced environment
- Ability to take ownership early, work independently, and learn systems and processes with minimal ramp-up
Compensation
The salary range for this role is $67,965 to $72,104. Compensation may vary depending on several factors including, but not limited to, experience, skill set, and relevant education or certifications.
