Job Title: Meetings Coordinator, Education
Job Description: The International Cemetery, Cremation and Funeral Association (ICCFA) is seeking a Meetings Coordinator whose focus will be in education and program management for the association. The Coordinator plays a critical role in ensuring the success of programs by working collaboratively with staff, committees, speakers, and others throughout the year. She/he will coordinate and manage the logistics, content, and speaker needs for ICCFA conferences, webinars, and online educational offerings. The position will also manage ICCFA’s Continuing Education (CE) approval process for all educational events. She/he must be highly motivated, energetic and have a strong eye for detail with excellent organizational skills and demonstrate a willingness to learn about the industry and the needs of the membership.
Essential Duties and Responsibilities:
- Work with ICCFA Executive Leadership Team, Meetings Manager, and co-chairs for each event to understand industry needs to assist in selecting relevant educational content for all meetings.
- Coordinate with speakers for session descriptions, bios, and photos; send reminders to presenters; assists with speaker registration.
- Work with speaker’s bureaus to secure and contract keynote speakers.
- Assist with scheduling program sessions, proofs program schedule, and other documents.
- Actively partner with other departments in the planning and execution of meeting logistics, including on-site AV, marketing, and evaluations.
- Monitor expenditures and ensure accurate and timely processing of expense reports and reimbursements.
- Manage online learning programs/webinars, including content, schedule, and platform.
- Work with accrediting agencies/bureaus to secure continuing education credits for all programs.
- Serve as staff liaison for various committees.
- Other duties as assigned.
Qualifications, Knowledge, and Skills:
- Bachelor’s degree required.
- 3 years of professional experience in an association role required; experience in event planning highly desirable.
- Customer Service and Communication: Excellent written/verbal/proofing skills.
- Adaptability and Multitasking: Quick learner; ability to work well under pressure; organized; able to think outside the box; handle multiple projects simultaneously; flexible in responding to new projects and assignments as they rise; and meets deadlines.
- Research, Project Management, and Organization: proficient in basic research, databases (including using Microsoft Office), and project management. Self-motivated and able to thrive in a results-driven environment.
- Collaboration and Problem-Solving: works well independently and as part of a team, works to solve problems/create solutions.
- Some travel required (20-30%) which includes occasional weekends.
- Knowledge of online learning/webinar software a plus.
Physical Requirements:
- Some physical exertion is associated with being on-site during events.
- Ability to lift/move boxes up to 45 lbs.
