Position Overview
The Office & Operations Manager plays a critical role in ensuring the smooth functioning of NWPCA’s headquarters and supporting organizational efficiency. This position combines office management, executive assistant responsibilities, and financial coordination. The ideal candidate is detail-oriented, proactive, and comfortable managing multiple priorities in a dynamic setting.
This hybrid role requires in-office presence Tuesday–Thursday and remote work on other days.
Key Responsibilities
Office Management
- Oversee day-to-day office operations, including facilities management, vendor relations, and supply procurement.
- Maintain organized office systems and ensure compliance with internal policies.
- Serve as the primary point of contact for staff and visitors, delivering exceptional customer service.
Executive Support
- Provide administrative support to senior leadership, including calendar management, meeting coordination, travel arrangements, and handling confidential communications.
- Assist with the preparation of reports, presentations, and correspondence for executive review.
Financial & Membership Coordination
- Act as the internal liaison for all billing, invoicing, and financial matters with NWPCA’s external accountant and financial consultant.
- Assist, as needed, with membership & sales invoicing and payment processing; ensure accurate documentation and timely follow-up on outstanding accounts.
- Maintain financial records and assist with reconciliation processes as needed.
Technology & Systems Coordination
- Act as the internal point of contact for IT support providers.
- Manage user accounts, access requests, and maintain hardware/software inventory.
- Support improvements to file-management systems and digital workflows to enhance organizational efficiency.
Administrative Excellence
- Process payments and manage invoicing workflows.
- Coordinate mailings, internal communications, and other administrative projects.
- Provide general clerical support, including document management and filing.
Team Collaboration
- Work closely with internal teams to support organizational priorities.
- Adapt to shifting priorities and align with executive direction to meet strategic goals.
- Proactively identify opportunities to improve processes and enhance member experience.
Qualifications
- Proficiency in MS Office Suite, spreadsheets, and using an AMS (YourMembership experience preferred).
- Strong organizational skills with the ability to manage multiple assignments and meet deadlines.
- Excellent attention to detail and customer service orientation.
- Ability to work independently and as part of a team in a fast-paced environment.
- Prior experience in association management, office administration, or operations preferred.
- Spanish fluency is a plus.
- Associate or undergraduate degree preferred.
