Operations Coordinator for the Institute for Conservation Leadership 

Location: Washington, DC Metro Area 


INTRODUCTION 

The Institute for Conservation Leadership (ICL) is looking for a full-time Operations Coordinator to provide internal infrastructure and support that helps us collectively achieve our mission. The Operations Coordinator is critical to ICL and is involved in managing activities and systems that integrate program, fundraising, and administrative functions. The Operation Coordinator’s attention to detail, hands-on troubleshooting, and behind-the-scenes support help to ensure ICL operates reliably and efficiently for the organizations it supports.  

ICL is a nonprofit organization that strengthens leaders, organizations, and collaborative efforts supporting healthy communities and a healthy Earth. ICL works with a wide range of groups across the United States and Canada.  

 Ultimately, the Operations Coordinator ensures the smooth day-to-day operations of the organization. To be successful as ICL’s Operations Coordinator, you will have outstanding organizational and project management skills, exceptional attention to detail, and be oriented toward collaborative teamwork and responsive customer service. The Operations Coordinator will report to ICL’s President and will work in close collaboration with the Program and Communications Coordinator.

RESPONSIBILITIES 

  • Coordinate and oversee functioning of core office systems. 
  • Maintain office/program inventory and purchase necessary materials/supplies. 
  • Actively engage with financial planning, payment processes, budgeting, and tracking. 
  • Perform maintenance on and make content updates to the website.  
  • Administer, manage, and regularly update key communication platforms, such as ICL’s website, database, and email platform.   
  • Support ICL’s fundraising efforts through developing the annual calendar, implementing fundraising and communications pieces to promote ICL’s programming and raising funds, and ensuring campaigns are delivered on time. 
  • Provide meeting support for staff and Board meetings. 
  • Manage ICL’s IT and other core vendors including tracking renewals and new opportunities. 
  • Coordinate Board of Directors meetings and engagement. 
  • Support organizational compliance such as tracking and processing state registrations or fundraising. 
  • Support HR functions such as onboarding and offboarding.  
  • Provide scheduling and administrative support for ICL’s President. 
  • Manage essential logistics for events such as registration, lists, payment processes, and materials. 

 

PROFESSIONAL QUALIFICATIONS 

  • A combination of relevant work experience and education to have the skills and the passion needed to successfully perform the outlined administration responsibilities. 
  • Commitment to the values of mutual respect, collaboration, teamwork, inclusion, diversity, and equity. 
  • A well-developed sense of humor along with the ability to engage with warmth and professionalism in a variety of settings.  
  • Comfort with administering Zoom and with using a variety of virtual technology to effectively engage and support with staff, Board, our consultant network, and vendors.  
  • The ability to work independently in a fast-paced virtual environment and collaborate with a small, distributed, hardworking team. 
  • Experience with database management, specifically experience with Salesforce is a plus. 
  • Comfort administering event registration tools, such as Eventbrite.  
  • Aptitude in the use of Office 365, Teams. 
  • Comfort with both using and learning a variety of CRM, project management, and collaboration software programs; experience using Basecamp is a plus.  

  

While this description is a fair representation of the Operations Coordinator position, it is not a complete list of all responsibilities. This role does present a unique opportunity to learn the intricate operational functions of an established and growing nonprofit organization.  

Like many organizations, ICL has adapted its work to the changed and changing world around us. The position requires flexibility to work remotely and to work, as needed, from ICL’s office in Greenbelt, MD. This full-time, exempt position, is based in the Washington, DC area. 

 

COMPENSATION  

The salary range for this position is $52,000 - $63,000, annually. ICL’s benefits package includes health insurance for employees; competitive paid time off, including four Fridays off in July and a 4-5 day winter break in December; paid parental leave; professional development opportunities; a 403b plan currently with an employer match; and access to a Flexible Spending Account.  

  

LOCATION  

This is a full-time position based in the Washington, DC Metro area.
