Responsibilities
Constituent Services
- Serve as the first point of contact for constituents seeking assistance from the office.
- Conduct intake by gathering relevant information and determining the nature, scope, and urgency of each request.
- Maintain accurate and organized records of constituent interactions and case progress.
- Resolve constituent concerns when possible, particularly those involving state agencies and programs.
- Refer constituents to appropriate government entities, community organizations, or service providers when necessary.
- Provide timely updates and follow-up to ensure resolution or proper referral of each case.
- Communicate with empathy, professionalism, and discretion in all constituent interactions.
- Work with Chief of Staff to address complex or high-priority cases effectively.
- Keeps the State Representative and Chief of Staff informed of recurring constituent concerns with weekly reports at the team meeting.
Outreach
- Schedule and staff outreach events to ensure consistent visibility and accessibility throughout the district.
- Coordinates and staffs Mobile Office Hours with non-profits, libraries, and community groups within the district throughout the year.
- Plan 1-3 district events quarterly.
- Manage social media: craft captions and schedule posts
- Track and respond to event invitations, including RSVPs, registration forms, and ticket purchases.
- Build and maintain strong relationships with local organizations, community leaders, and stakeholders.
- Draft the monthly e-newsletter with upcoming events and office updates
Administrative
- Answer and direct phone calls and visitors when in the office.
- Coordinate and track meeting requests, ensuring timely communication and scheduling.
- Participate in team meetings, planning, and general office processes.
- Monitor general inbox in collaboration with the Chief of Staff.
- Support day-to-day office operations and complete other duties as assigned to ensure smooth functioning of the office.
Required Qualifications
- Excellent written and verbal communication skills, with the ability to interact professionally with diverse audiences.
- Strong organizational skills and attention to detail, with the ability to manage multiple tasks and deadlines.
- Proficiency in Google Suite and comfort learning new software tools (e.g., CRM systems, email marketing platforms, social media schedulers).
- Ability to work occasional evenings and weekends for community events and district engagement.
- Ability to handle confidential information with discretion and professionalism.
- Team-oriented with a collaborative mindset and a willingness to adapt to a fast-paced environment.
Preferred Qualifications
- Prior experience in public service, community outreach, or a government setting.
- Familiarity with the functions of state and local government, including constituent services and legislative processes.
- Demonstrated interest in civic engagement, advocacy, or public policy.
- Experience managing social media platforms for an organization or public office.
- Proficiency in Canva or similar design tools to create flyers, graphics, and other outreach materials.
- Bilingual or multilingual skills, especially in Spanish, Urdu, or Hindi.
Schedule
- Full Time: 40 Hours
- Mix of weekday office hours, evenings, and weekends as needed.
