Job Description

The Personal Chief of Staff & Operations Manager is a highly trusted professional responsible for managing the principal’s schedule and priorities, overseeing personal and home-related operations, coordinating travel and logistics, managing incoming requests, and ensuring the smooth functioning of day-to-day operations. While based domestically, this role supports international engagements and requires exceptional organizational skill, discretion, sound judgment, and the ability to manage complex priorities across time zones.


Key Responsibilities

Schedule & Time Management

  • Manage daily, weekly, and long-term schedules, including coordination across multiple time zones.
  • Balance professional, media, travel, and personal commitments with precision and discretion.
  • Serve as the primary point of contact and gatekeeper for inbound requests, including changes, confirmations, and real-time adjustments, managing access to the principal and ensuring efficient information flow and appropriate prioritization.

Personal & Home Operations

  • Oversee day-to-day operations of the personal residence, coordinating maintenance, services, and vendors.
  • Monitor ongoing household needs and ensure continuity during periods of travel.
  • Handle sensitive personal matters with the highest level of confidentiality.

Travel & Logistics

  • Plan and coordinate domestic and international travel, including itineraries, accommodations, and ground transportation.
  • Ensure travel arrangements align with professional obligations and personal preferences.
  • Anticipate logistical needs and proactively resolve travel-related issues.

Media & Request Management

  • Manage incoming media, speaking, and appearance requests in coordination with relevant advisors.
  • Track deadlines, interview requests, and appearance logistics.
  • Exercise sound judgment and discretion in all external communications.
  • Proactively coordinate and schedule media appearances, including outreach to and relationship management with key television, radio, and podcast booking contacts, in coordination with relevant advisors.

Operations & Administrative Support

  • Oversee day-to-day operational and administrative needs of the company to ensure efficiency and continuity.
  • Track key commitments, action items, and deliverables arising from meetings and engagements, and coordinate appropriate follow-up to ensure timely completion.
  • Support board-related activities, including meeting preparation, logistics, and post-meeting follow-up as needed.
  • Coordinate with external contacts, service providers, building management, and vendors.
  • Coordinate logistics for internal and external meetings, including technical setup and note-taking when appropriate.
  • Maintain a professional, client-ready office environment, ensuring facilities, supplies, and vendor coordination are handled smoothly.
  • Prepare daily schedules, briefings, and operational updates as needed.

 

Qualifications & Skills

  • Demonstrated experience managing complex schedules and high-level priorities.
  • Exceptional organizational skills and attention to detail.
  • Proven ability to handle sensitive information with discretion and professionalism.
  • Strong written and verbal communication skills.
  • Ability to work independently, anticipate needs, and adapt in a fast-moving environment.
  • Experience supporting executives, public figures, or principals strongly preferred.

Salary Range

$90,000 - $115,000, depending on experience + benefits
