About Acacia Center for Justice:

The Acacia Center for Justice (“Acacia”) provides legal support and representation to immigrants facing deportation through the development, coordination, and management of national networks of legal services providers serving immigrants across the country. Acacia’s goals are twofold: to support immigrant legal services and defense networks to provide exceptional legal services to immigrants; and to advocate for the expansion of these programs and the infrastructure critical to guaranteeing immigrants access to justice, fairness, and freedom. Acacia ensures accountable, independent, zealous, and person-centered legal services and representation to protect the rights of all immigrants.

Job Summary:

The Program Analyst assists in the management of federally funded orientation programs. Together with the Program Director and others on the team, the Program Analyst monitors compliance with the organization’s contractual obligations to federal government partners and subcontractors, provides technical assistance, and conducts program evaluation.

Primary Duties/Responsibilities:

Stakeholder relations

  •  Assist in stakeholder relations and act as lead point person on network communications, including sending updates on the applicable orientation program listserv as necessary
  • Maintaining and updating the applicable orientation program SharePoint Dashboards with non-urgent but relevant updates, including periodic coordination with other units, for example L&D, REDA, and BRM
  • Assist in coordinating ad hoc meetings between LSP network, Acacia, and Stakeholders
  • Assist site leads (senior program associates and program associates) with stakeholder meeting notes and site visit memo drafting for stakeholder meetings
  • Offer back-up support on monthly conference call reminders and note-taking when the administrative assistant is not available

Onboarding/offboarding subcontractors and Subcontractor Staff

  • Overseeing administrative assistant with subcontractor staff onboarding and offboarding
  • Sending welcome or closing out email
  • Assist in scheduling launch meeting
  • Draft initial launch memo
  • Manage launch checklist in coordination with designated site lead, associate program director, administrative assistant

Cross-team coordination support

  • Support OPQA’s coordination with TC and REDA around submission of TO materials
  • Provide support around launch and management of new projects
  • Assist ITS with SharePoint management
  • Assist the L&D team and oversee the administrative assistant with on-site training programs, conferences, and webinars including:
  • Technical assistance before and during on-site training programs /conferences webinars

-        Calculate cost projections for potential locations of on-site trainings/conferences

-        Work with travel agent to book flights for participants, as well as assist with hotel scouting & contracting

-        Emit regular communications about logistics, conference programming, and reminders to participant list

-        Create conference reader, agenda, and logistics letters

-        Conduct post-conference participant evaluation surveys; summarize main feedback for team

Materials Management and Review

  • Regularly update referral lists, tracking sheets, as well as site map and site list for lobbying purposes
  • Support functionality of internal tracking systems with an emphasis on TA tracker
  • Update internal, external, and analyst manuals regularly
  • Continue to produce tools and materials aimed at improving programmatic efficiencies
  • Work with team members to migrate resource materials for public consumption on Acacia’s website\
  • Assist L&D with

-        Uploading and updating of non-L&D materials to external Share Point

-        Review, editing, and development of program materials

-        Create technical assistance resources based on identified needs of the network, which may require conducting background research on immigration court, immigration detention, and related issues, and distill key findings into written communications and resources

-        Translate in-house materials

-        Brainstorm project ideas to build upon past and current work in the area of immigration law and court proceedings

Preparation of reports

  •  Assist in preparing quarterly and annual reports to government partners
  • Review and analyze quantitative and qualitative program information received from program partners and other stakeholders
  • Write first draft of report with distilled findings regarding network-wide trends and updates from specific subcontractors

Assist on other special projects/discrete assignments as assigned by the Program Director, including

  • Assist with initial onboarding of administrative assistant and offer continued support on identifying projects, updating documents, etc.
  • Interpretation and translation support throughout the contract year
  • Researching technologies aimed at improving program efficiencies (e.g., flipbook)

Required Skills, Knowledge, Abilities:   

  • Strong oral and written communication skills;
  • Ability to work on multiple projects effectively and efficiently, both independently and collaboratively;
  • Strong organizational skills and ability to multi-task;
  • A commitment to a collegial workplace;
  • Proficiency with Microsoft Office software, including Word, Outlook, Excel, and PowerPoint; and
  • Fluency or high level of proficiency in another language besides English preferred.

Preferred Skills, Knowledge, Abilities:

  • Experience with "know your rights" and other community education initiatives is a plus
  • Willing to complete an NCIC background check as necessary.

Education and Experience:

  • Bachelor’s degree or associate degree and comparable work experience; or work experience equivalent to [2-4] years of education.

Compensation and Benefits:

Acacia has established an internal compensation philosophy that centers equity and pay transparency. The salary for this position is set at $65,000. This is a non-exempt role. The salary listed is just one component of Acacia’s total compensation package for employees. Supporting Acacia staff—both personally and professionally—is our priority.
