Job Title: JCYC ETS & SFCAC Program Coordinator
Position: Full-time, 30-40hrs/week, Non-Exempt position; some evenings & weekends
Location: 1710 Octavia St, San Francisco, CA 94109
Salary: $48,000-$52,000 + excellent benefits upon completion of a 3-month introductory period
Funding Source: U.S. Department of Education (DOE) and California Student Aid Commission (CSAC); Continuation of position based on the renewal of annual funding

PROGRAM & POSITION DESCRIPTION
JCYC's College Access Programs connect historically underserved youth with comprehensive and culturally competent college access services. By partnering with local public schools throughout San Francisco and Daly City, JCYC College Access Programs are able to serve income-qualified students, many of whom will be the first in their families to attend college. The JCYC College Access Programs consists of five federal TRIO grants (3 ETS and 2 UB) and one Cal-SOAP grant. The JCYC ETS and SFCAC Program Coordinator is a core JCYC College Access team member. In addition to coordinating overall office management, the Program Coordinator will assist in the planning, implementing, and evaluating of the project services and activities for JCYC ETS and SFCAC. The Program Coordinator will directly supervise the Office Assistants with support from the Director(s). The Program Coordinator will report directly to the Program Director and Administrative Director and will work closely with the Associate Directors, Office Assistants, Database Manager, Direct Service teams, and JCYC Agency staff.
JOB RESPONSIBILITIES
ADMINISTRATIVE
- Manages administrative workflow (e.g., monitoring phone lines and emails, program sign-in sheets, staff emergency forms, purchasing office supplies, etc.).
- Prepare and maintain personnel files for all staff.
- Enter participant information and services into Salesforce, the program’s database.
- Supervise and Support Office Assistants in organizing required program forms and create participant files.
- Support Directors in managing program reports, calendaring tasks and deadlines, and coordinating meetings;
- Support Directors with program planning, staff retreats, and team building efforts;
- Manage marketing activities using current social media tools (e.g., Instagram, Facebook, SnapPages, etc.);
- Assist Directors in organizing fundraising activities;
- Provide administrative support, including managing business accounts, reconciling credit card receipts, and preparing check requests;
- Responsible for preparing meeting minutes, office correspondence and maintaining/updating program documents/applications and materials;
- Work collectively with JCYC Human Resources (HR) and Fiscal and Administrative teams within the agency.
- Facilitate communication and administrative work among all staff;
COORDINATION
- Coordinate with staff to organize academic, socio-cultural, and career-related field trips throughout the year.
- Assist in the identification, recruitment, and selection of program participants (when appropriate) and collaborate with other JCYC programs (Upward Bound, MYEEP, YouthWorks, etc.) to accept referrals of potential program applicants.
- Assist the Directors in the process of program and school site evaluations, including collecting and analyzing youth and partner feedback.
- Assist the Directors in recruiting, hiring, and training direct service staff.
- Participate in JCYC College Access Program meetings, activities, committees, and events.
OTHER PROGRAM PARTICIPATION
- Participate in JCYC, agency-wide, meetings, activities, committees, and events to represent the agency to external stakeholders;
- Available to work weekends, evenings, and overnight when necessary;
- Perform related duties as needed.
JOB QUALIFICATIONS
- Bachelor’s Degree from an accredited university (preferred) or currently enrolled in college working toward a Bachelor's Degree;
- One or more year(s) experience working in a motivated office setting and managing multiple projects.
- Excellent verbal and written communication and organizational skills with both youth and adults
- Computer Literate; Working proficiency in MS Word and Excel; Knowledgeable of using PowerPoint, Zoom, and Google Applications.
DESIRED SKILLS
- Experience working with diverse youth from a range of backgrounds and circumstances
- Strong aptitude in using multimedia technology
- Salesforce Database experience
- Strong time management and organizational skills
- Proven ability to problem-solve and manage multiple projects and priorities simultaneously
- Ability to work effectively in a team setting with or without supervision
- Passion for the overall goals and vision of the College Access Programs
- Bilingual preferred but not required (Cantonese, Mandarin, and/or Spanish)
