Position Summary

The Education Manager assists with the mechanics and logistics of planning, coordinating and hosting NPA conferences, including virtual events, in-person events, scheduled remote offerings, and other learning opportunities. In addition, the position assists with the on-site coordination of educational programs, conferences and other in person meetings and events.  


Position Responsibilities

  • Assists with coordinating logistics for all conferences and special events, including building and maintaining several simultaneous spreadsheets as well as other documents, preparing standard operating procedures, interacting with new and existing exhibitors and sponsors and serving as a liaison with speakers and committee members.  
  • Collects all speaker materials such as bios, headshots, etc., and updates documents accordingly in speaker management system.
  • Performs a variety of other administrative tasks as needed such as collating and making photocopies, populating documents, emailing speakers.
  • Coordinates relationship with third party organizations that provide Continuing Education Units (CEUs) associated with NPA’s educational offerings. Maintains records of successfully completed training certified by NPA.
  •  Works closely with the Sr. Manager of Education and Digital Learning to upload and populate the association’s Learning Management System.
  • Organizes calls and meetings with stakeholder groups to plan educational offerings.
  • Coordinates implementation activities with other departments to ensure the successful development and delivery of educational events and programs.
  • Cross references documents including hotel reservation lists, registration lists, committee lists, etc.
  • Takes the lead in setting up and utilizing technology for all virtual events and conducting virtual sessions and educational webinars. Responsible for providing speakers with basic training on virtual events and additional resources as needed to successfully record or present their sessions.

Knowledge, Skills and Abilities

  • Familiarity and experience with digital and technological products, including virtual conferencing platforms, mobile conference apps, online digital media, virtual learning technology (e.g., Zoom, Go-to Webinar) and an ability to learn new technologies.
  • Ability to work independently on projects
  • Experience setting up and managing projects in project management software systems
  • Flexibility and problem-solving skills
  • Organized, with the ability to coordinate multiple activities and meet tight deadlines while maintaining a strong attention to detail
  • Excellent oral, written and listening communication skills
  • Collaborative team player who can work cooperatively with a wide variety of internal and external constituencies
  • Excellent customer care skills
  • Experience with a Learning Management System (LMS)
  • Strong Microsoft Office skills required (including Excel and Powerpoint); knowledge of or the ability to learn other software products (e.g., survey tools, graphs, project management tools)
  • Understanding of Microsoft Teams and Adobe Creative Suite



Requirements

Education

  • Bachelor's degree or equivalent relevant experience


Location

  • Reside in the Northern Virginia, Washington, DC or Maryland areas
  • Primarily remote work, but ability to travel to the Alexandria, VA office as needed is required
  • Ability to travel to conferences as needed is necessary


Experience

  • 2+ years’ relevant experience



Working Conditions

Small, fast paced team environment. Normal sitting and standing activities. Use of phones and computers for extended periods of time. Utilize office equipment and communication technologies for conference calls and zoom meetings/webinars. Requires general mobility to move through the facility and at off-site conference venues. Ability to lift 25 pounds and walk and stand for long periods during conferences and meetings.

Ability to travel locally and to other cities for meetings and conferences throughout the year.
