Job Summary


Department Specific Responsibilities

  • Manages and coordinates administrative activities necessary for the operation of the Indiana University Washington, DC office.
  • Provides day-to-day administrative work and executive-level support to the Assistant Vice President for Federal Relations, and Director, Federal Research Relations and, on occasion, IU personnel using the office on a temporary basis.
  • Tasks include calendar monitoring, scheduling meetings, conference calls, and videoconferences, coordinating catering, ordering office and hospitality supplies, handling incoming inquiries via email or phone, and taking care of all guests and visitors to the office.
  • Serves as a project assistant with IUAA staff to organize DC-based IUAA programs and events, tracking and reporting information about program participants. Other duties include drafting, and preparing routine correspondence and managing the requests for use of the DC office space.

General Responsibilities

  • Manages a small project, from start to finish, or one phase of a large project, ensuring on-time completion within budget.
  • Develops project plan(s) and efficiently analyzes, tracks, forecasts, and reports on project metrics and shortfalls.
  • Reports on progress and provides regular updates to upper management. 
  • Coordinates and communicates between various areas; conducts project meetings and prepares regular reports.
  • Collaborates with other departments to ensure that project objectives are achieved within established time frames. 
  • May provide guidance and support to non-exempt staff.


EDUCATION

Required

  • Bachelor's degree in a relevant field

WORK EXPERIENCE

Preferred

  • Some relevant experience
