General Description:

The Scheduler works in the Scheduling and Advance Division within the Governor’s Office and reports to the Director of Scheduling. Assists with research, planning, scheduling and re-scheduling appointments for the Texas Governor as authorized. Works collaboratively with other Scheduling personnel and other agency staff to accommodate, plan, coordinate and assist with scheduling requests. Follows strict internal protocols, including coordination necessary to confirm appointments. Maintains strictest confidentiality and demonstrates ethical judgment in conducting business on behalf of the Office of the Governor. As a member of the Governor’s Scheduling and Advance team, the incumbent frequently works on-call and must be available, including on short notice and in crises. Demonstrates and applies knowledge of the Governor’s calendar, contacts and events as necessary to effectively fulfill scheduling activities. Works under general supervision with moderate latitude for the use of initiative and independent judgement.

Essential Duties:

Demonstrates and provides superior interpersonal, oral and written communication skills as needed to respond to high volume incoming calls and customer requests.

Assists the Division Director and other division staff in organizing and scheduling travel, appointments, special events, meetings, and all other internal and external activities for the Governor as authorized.

Plans, researches and coordinates accommodations, transportation, facilities, catering, signage, displays, translations, audio-visual equipment, printing and security as required to effect seamless events for the Governor.

May assist in monitoring event expenses and/or budgets as directed.

Communicates, documents and relays information clearly to others and consistently follows complex instructions.

Confers with staff at designated event and/or meeting sites in order to understand, coordinate and expedite all related details; determines special requirements, including for the Governor and staff.

Prepares or assists in preparing final schedule documents for the Governor and staff.

Handles all related calls and prepares business correspondence as required to fulfill the assigned duties. May prepare executive briefings.

Responds to staff inquiries relative to the Governor’s schedule, including potential scheduling conflicts. Consults and communicates with other agency staff as required to successfully fulfill the assigned scheduling duties.

May assist in evaluating select providers, venues and location staff.

Adheres to regular and reliable attendance standards.

Performs all other related duties as assigned.

Minimum Qualifications:

Graduation from an accredited four-year college or university with a degree in Business, Marketing, Communications, Public Administration, Political Science, or a related degree;

Three years (3) years of professional experience, including one year of executive, campaign and/or elected official scheduling experience comparable to the posted duties.

Note: Experience and education may be substituted for each other on a year-for-year basis.

Registration, Certification or Licensure: Valid Texas Driver’s License.

Physical Requirements and/or Working Conditions: This classification functions in a standard office environment. Ability to move up to 35 lbs. Will need to move about the office to access file cabinets, office machinery, etc. Must be able to communicate and exchange accurate information via phone, computer and in person. Must be able to work hours that can include holidays and as needed. Work with overlapping projects and deadlines. Work as a team member. Have direct customer contact. Must have stamina to work a regular 8-hour work day and to work extended hours as needed. Work with sensitive and confidential information.
