The Institute hosts more than 200 events each year, with our annual flagship event, Global Conference, bringing together 4,500+ participants from around the world, featuring more than 900+ speakers throughout 200+ sessions over the course of the event.
About the Milken Institute Future of Aging
Within the Milken Institute (“MI”) and as part of MI Health, the Milken Institute Future of Aging advances healthy longevity and financial well-being for all through research, convenings, multisector partnerships, and the elevation of high-impact policies and practices. We spur progress across five interrelated practice areas: 1) brain health with a focus on improving dementia care; 2) healthspan promotion; 3) home and community; 4) financial longevity preparedness; and 5) family caregiving.
About the Position
This position reports to the Director, Financial Longevity, in Washington, DC, and will support team members and initiatives across the entire group by leveraging our core capabilities in project management, logistics and operations support, preparation and support for convenings, and research. The Senior Associate will be an immediate team contributor on the Milken Institute platform events.
Role Objectives
1. Convenings and Events: 35% FTE
- Provide logistical support for the Future of Aging team events that engage key external thought leaders, including identification of potential attendees and presenters, outreach, background research on related content, and preparation of custom itineraries.
- Interface with the Institute’s Global Programming and Events staff to ensure smooth execution of speaker outreach, onboarding, system tracking, and experience
- Support the Future of Aging with audience building, invitation and attendance management, itineraries, meeting scheduling, and follow-up communications.
- Organize all logistics related to DC-based roundtable convenings, including materials preparation, catering, A/V, participant communication, and follow-up.
2. Project Management: 35% FTE
- Conduct detailed project planning, management, and tracking for multiple long-term projects focused on healthy longevity and financial well-being, including scheduling and maintaining a robust set of expert interviews, ensuring timely communication and follow-up, creating project management schedules, and tracking to keep program deliverables on schedule
- Support operations related to project-sponsored roundtable convenings in Washington, DC
3. Practice Area Support: 30% FTE
- Carry out requested administrative activities to facilitate day-to-day operations, including travel planning, expense report preparation, calendar management, notetaking at meetings, copyediting, preparing agendas and materials for roundtable convenings
- Support the management of the weekly team agenda and business development pipeline, including AirTable, Salesforce, Toggl, and Concur
Responsibilities
- Support Future of Aging with programmatic and administrative responsibilities, including project tracking, scheduling, preparing external communications, including drafting emails and other correspondence, creating PowerPoint decks and other visuals, and managing spreadsheets and other reporting
- Provide logistical support for Future of Aging to engage key external thought leaders, including identification of experts, outreach, and background research on related content
- Conduct desktop research, participate in qualitative research processes including scheduling and tracking key opinion leader interviews, and synthesizing information to support the drafting of reports, issue briefs, collateral material, and other written communications
- Ensure that all reports, issue briefs, and articles are complete, managing citations following Milken Institute standards, and working closely with Future of Aging’s marketing and communications liaison to ensure materials are reviewed by relevant internal and external stakeholders
- Manage Future of Aging portfolio data within the Milken Institute’s existing systems (Salesforce, Sharepoint, etc.) and project management software
- Other duties as assigned
Requirements
- Bachelor's degree required
- 3-5 years of experience related to aging, public health, financial security and/or health or economic policy and management
- Proven and effective project management skillset
- Proactive, highly organized, detail-oriented, and hard-working professional
- Multitasker able to handle complex projects in a fast-paced environment requiring effective prioritization and prompt response to internal and external communications
- Motivated self-starter displaying high productivity and follow-through
- Team-oriented individual who seeks out tasks when work is completed
- Passion for aging issues and their intersection with health, policy, finance, and technology
- Proficient in Microsoft 365 (Word, Excel, Outlook, PowerPoint), project management software, and Salesforce (desired)
Working Conditions & Travel Requirements
This position will work in a professional office environment on a hybrid schedule consisting of three (3) days per week reporting in-person to the Washington, DC office location (Tuesday – Thursday), with the remaining two (2) days working remotely. Please understand, this schedule is subject to change at the Institute’s sole discretion.
This person will also be required to travel occasionally to other offices and/or venues to assist with events as needed, requiring occasional work outside of traditional hours. Additionally, this position requires interacting virtually on a regular basis with Milken Institute staff based in other locations in the United States and around the world.
