Work Location & Travel
This is a full time, remote position based in Florida.
This role requires regular travel throughout Florida during event season. The busiest travel season typically runs from October through May, while travel demands are generally lighter during the summer months. Mileage reimbursement is provided for eligible business travel.

Snapshot of Key Accountabilities of the Special Event Coordinator:
- Coordinate logistics for a variety of events, including signature fundraising events, donor stewardship receptions and cultivation events.
- Assist with event production, including timelines, run-of-show documents, venue logistics, décor, audiovisual needs, catering, registration, and onsite event management.
- Support event setup, execution, and breakdown.
- Process event gifts and sponsorship payments, reconcile revenue, and prepare post-event financial reports.
- Track sponsorships, ticket sales, attendance, and donor engagement through Salesforce.
- Manage guest registration, seating assignments, name badges, place cards and RSVP tracking.
- Create mailing lists, perform mail merges, coordinate printing, and oversee assembly and distribution of event mailings.
- Answer and respond to inquiries received through the Special Events phone line and email inbox.
- Participate in department planning meetings and contribute to annual event planning and strategy.
- Maintain organized event files, reports, and documentation.
Experience and Education of the Special Events Coordinator:
- Bachelor's degree preferred, or equivalent work experience.
- 1-2 years of experience in a non-profit organization, within a Development Department preferred.
- Strong organizational skills and ability to manage numerous projects and deadlines simultaneously.
- Flexibility in adapting to changing priorities.
- Ability to work effectively with donors, volunteers, staff, and others within and outside of the organization.
- Ability to organize and coordinate event logistics.
- Proficient in Word, Excel, Outlook, PowerPoint, Adobe PDF Pro and donor database software.
- Experience with CRM databases (Salesforce preferred).
- Excellent written and oral communication skills.
- Must be self-motivated and able to work independently or with a team.
- Experience in fundraising campaigns, appeals and events is preferred.
- Superior attention to detail, accuracy, and dependability.
- Ability to handle confidential information appropriately.
- Strong interpersonal skills.
- Ability and willingness to travel throughout Florida as required for events.
- Strong understanding of and personal commitment to reproductive rights and the mission of Planned Parenthood.

Benefits and Compensation
- Annual starting salary of $48,000 commensurate with experience.
- Eligible for all applicable benefits effective the first of the month following 30 days from your hire date.

- Eligible for mileage reimbursement for approved business travel.
