Job Description
Project for Public Spaces is seeking a Bookkeeper/Office Manager to handle the day-to-day bookkeeping, CRM database maintenance, and basic office management. The nonprofit organization currently has a $2.5 million annual budget with revenue generated from corporate sponsors, fee for service project work, events, publications, and philanthropic support. Project for Public Spaces will be celebrating its 50th anniversary in 2025.
The ideal candidate will have experience entering and maintaining accounting records for a nonprofit organization, managing an office remotely, excellent organizational skills and attention to detail, and a collaborative and proactive approach to their work. Only candidates with experience in Quickbooks will be considered.
This is a part-time remote position; however, we will focus on applicants who are able to pick up physical mail in Brooklyn as needed. The position will report to the Finance & Operations Manager.
Primary Responsibilities
- Bookkeeping:
- Enter Accounts Receivable and Accounts Payable information into Quickbooks Online, ensuring correct coding and account lines
- Send regular AP and AR reports to relevant staff
- Maintain electronic connections between Quickbooks and other online banking and accounting systems
- Communicate with program staff regarding overdue accounts when necessary
- Maintain detailed backup documentation throughout the year in preparation for the annual audit
- Reconcile bank accounts and credit card statements monthly
- CRM Maintenance
- Update and maintain constituent information in the CRM database
- Ensure data integrity and accuracy in CRM records
- Assist in generating reports and analysis from CRM data
- Office Management:
- Maintain two generic organization email accounts, forwarding, replying, or filing emails as necessary
- Picking up physical mail in Brooklyn in a timely manner (upon electronic notification)
- Managing occasional scheduling requests for the co-Executive Directors
Qualifications and Skills
- An advanced level of Quickbooks Online working knowledge and experience is required
- Knowledge of standard nonprofit accounting protocols and best practices
- Experience in maintaining accurate records, and preparing clear and accurate financial reporting for informational, auditing, and operational use
- Knowledge in Excel, Google applications (Sheets, Docs), Bloomerang a plus
- Ability to work independently, prioritizing workflow to meet deadlines and paying close attention to detail
- Ability to maintain positive and collaborative relationships with outside vendors and internal staff, and work with people from diverse backgrounds
- Ability to commit to a regular schedule
- Excellent written and oral communication skills
- Ability to input, retrieve, and analyze data from CRM databases
- Familiarity with CRM functions such as data entry, reporting, and gift processing
