Summary:


The Finance & Operations team has an exciting opportunity for a talented early career professional in the position of Grant Compliance and Budget Assistant. The Grant Compliance and Budget Assistant will provide administrative support for day-to-day award budget management, financial vetting of new sub-awardees and urgent assistance referral partners, and additional support as needed under the direction of the Compliance and Budget Manager. In addition, the Compliance and Budget Assistant will work across a portfolio of projects alongside and learning from cross-functional teams with leaders and peers with varying backgrounds, education, and experiences. This position is based in Washington, DC and it is a hybrid role, with two required in-person days per week.

Administrative Assistance: 



  • Organize and maintain grant-related files for both incoming and outgoing awards.

  • Provide administrative support, including the review of reports, receipts, and processing of payment requests, risk assessment vetting, and continuous monitoring throughout the fiscal year.


Financial Reporting Review: 



  • Engage proactively in the comprehensive review of financial reports, ensuring accuracy, consistency, and compliance with organizational standards and donor rules. This will also include identifying variances and providing actionable insights or recommendations for improvement.

  • Collaborate closely with the finance team to gain insights into financial data interpretation, verification, and reporting nuances.

  • Participate in monthly/quarterly financial review meetings, contributing insights and enhancing skills in financial reporting and analysis.


Data Entry: 



  • Execute detailed data entry tasks across platforms such as Salesforce, SharePoint, Asana, and Monday.com boards.


Communications: 



  • Develop communications materials, including one-pagers, concept notes, and other relevant documents.


Grant Agreement and Proposal Support: 



  • Assist in the processing and submission of final grant agreements, amendments, and routine correspondence.

  • Ensure program staff are updated on the progress of agreements, amendments, and related correspondence.

  • Conduct initial reviews of financial reports for accuracy, compliance, and consistency.

  • Update the grants database, grant management tracker and boards on a regular basis ensuring accuracy and timely reporting.

  • Undertake other duties as assigned, including participation in special projects that offer opportunities for enhanced financial report analysis and insights.

  • Provide support as needed for funding proposals.

Qualifications: 



  •  Bachelor’s degree in international relations, finance, or a related field.

  • 1-3 years of experience in administration or program support.

  • Experience or familiarity with subawards is a plus.

  • Knowledge of US government award rules and regulations (2 CFR 200 and 2 CFR 600) is a plus.

  • Familiarity with project management tools such as Salesforce, Asana, Monday.com, etc.

  • Advanced computer literacy, including strong Excel skills.

  • Knowledge of grants management software/database is beneficial.

  • Excellent written and oral communication skills.

  • Exceptional attention to detail and ability to multitask.

  • Ability to work effectively in a multicultural team environment.

  • Capacity to prioritize tasks, deliver quality results within tight timelines, and work with minimal supervision.

This position is a full-time non-exempt hybrid position based in Washington, DC with two days of required in person attendance at the Vital Voices Headquarters. If and when it is safe to travel, domestic and international travel up to 5% may be required for the position.


The starting salary range for this position is $43,905 – $53,661 based on experience and ability to have broad impact early.
