Position Context: The mission of the Reinvent Stockton Foundation is to intentionally invest in and rigorously evaluate collective impact strategies and other force multipliers that will improve quality of life for Stockton residents. Our flagship initiative is the Stockton Scholars, a place-based college scholarship that seeks to dramatically increase the number of Stockton students who both attend and complete higher education in ten years. With an initial private donation of $20 million, Stockton Scholars will provide $1,000 a year to students who will be attending 4-year universities and $500 a year to students attending 2-year colleges or trade schools. This scholarship will be open to students attending public high schools in Stockton beginning Fall 2019.

Position Description: The Reinvent Stockton Foundation is searching for a highly skilled and highly motivated individual to serve as the Scholarship Operations Analyst for the Stockton Scholars program. We believe stellar internal operations and data-driven decisions are critical to the success and mission of the Stockton Scholars program. The Scholarship Operations Analyst will provide high quality administrative, project, platform and database management for the Stockton Scholars program.

The successful individual for this role believes deeply in developing and managing operational excellence, has a relentless and rigorous attention to detail, enjoys efficiency and improvement of systems, and is hyper organized and tech savvy. They should thrive in a fast-paced non-profit work environment, and have experience successfully executing multiple priorities. The ideal candidate will be a solutions-driven individual with demonstrated experience communicating critical information to internal and external audiences. They will love databases and staying up to date with cutting edge technology to continuously improve internal processes and workflow efficiency. 

Work will be performed within the City of Stockton in our office location in downtown Stockton ∂and virtually/remote. Ability to work non-traditional office hours including evenings and weekends is required occasionally in order to support programming and events. 

Position Responsibilities:

  • Oversee the maintenance and accuracy of program data bases, web applications, and online organizational systems (Salesforce, Google Suite, Microsoft Suite and similar programs) 
  • Ensure tactful, supportive and thorough communication is provided to program constituents and others who inquire about the SS program, app process, events, etc.
  • Manage the review and processing of scholarship applications, appeals, waiver requests 
  • Troubleshoot incoming program and scholarship issues internally and externally 
  • Support with implementation of strategic timelines for the scholarship application process for new and renewing students
  • Responsible for record-keeping including storage and maintenance of scholarship files, online applications, and files within the Stockton Scholars database for all parties
  • Work closely with the Scholarship Operations Manager and the RSF Director of Operations to ensure on-time disbursements of scholarship funds to students, colleges and universities
  • Assist with policy development and processes to maintain program compliance with university, local, state, and federal laws, policies and best practices
  • Create and manage internal and external data requests through customizing, creating, running, and overseeing complex reports and dashboards
  • Update all records on inquiries, applicants, awardees, and all aspects of scholarship application and award process
  • Maintain confidentiality of highly sensitive information
  • Manage complex calendars which includes independently determining scheduling priorities for program leadership 
  • Prepare agendas and briefing materials for meetings 
  • Support with budget review and expenditure reporting 
  • Manage and maintain timely communication through phone calls and multiple email domains
  • Provide in office support and presence at Reinvent Stockton Foundation Headquarters to receive mail, packages and support with student engagement operations 
  • Maintain and order office supplies
  • Receive and review invoices for accuracy
  • Generate or monitor various reports; analyze results and report to leadership team
  • Perform other duties as assigned

 

Skills and Qualifications

The successful Administrative Coordinator should have a combination of the following:

  • AS/BA/BS in business, economics, or data analysis, college counseling, or a closely related field is highly desirable
  • Database management skills and experience, especially Salesforce, Google Suite, Microsoft Suite and similar programs 
  • Analytical/problem-solving mindset
  • Growth mindset 
  • Basic project management and continuous quality improvement skills  
  • Exceptional attention to detail and organizational skills are essential to be successful in this role
  • Demonstrated aptitude for managing shifting and demanding deadlines, creating and managing to project timelines; 
  • Strong communication and interpersonal skills to communicate effectively with all levels of staff, partners, and other stakeholders, both verbally and in writing
  • Integrity and discretion to maintain and communicate confidential information as appropriate
  • Verbal and written fluency in Spanish is strongly desired
