Operations & Outreach Automation Specialist (Contract Role, High-Impact)

Linens N Love is growing fast, and we need a highly proactive, results-driven Operations & Outreach Automation Specialist to build, automate, and optimize hotel-to-shelter donation matching, email outreach, and retention workflows.

This is a high-ownership contract role focused on automation, outreach scaling, and impact-driven process optimization—not just operations oversight.

We’re looking for someone who takes ownership, continuously refines workflows, and scales outreach without increasing manual work. If you love building scalable outreach & logistics flows, optimizing Make.com campaigns, and turning data into actionable insights, this is for you.

What You’ll Own (Key Responsibilities)

Automate the Outreach & Registration Process

  • Build automated email & CRM outreach campaigns targeting hotels and shelters.
  • Set up Make.com workflows for outbound hotel engagement & shelter registrations.
  • Automate follow-up sequences for interested but unregistered organizations.
  • Ensure every outreach action is tracked & logged in our CRM (Google Sheets/Airtable).

Build & Scale the Hotel & Shelter Database

  • Implement data collection & enrichment workflows to continuously grow our network.
  • Automate qualification & sorting of high-potential hotels & shelters for outreach teams.
  • Optimize outreach based on conversion rates—if something isn’t working, tweak it and improve it.
  • Proactively reduce redundant tasks via automation.

Hotel-to-Shelter Donation Matching Automation

Create a no-code, simple automated matching process (using tools like Make.com or Softr) that:

  • Notifies shelters when hotels in their area have linens available.
  • Automates donation scheduling and confirmation between hotels & shelters.
  • Ensures we’re capturing successful donation transactions & fulfillment data.

Data Tracking & Performance Monitoring

  • Develop dashboards & reports that track:
    • Shelter & hotel onboarding/conversion rates
    • Total donations facilitated & pickup success rates
    • Engagement trends & opportunities for improvement
  • Adjust automations & messaging based on real-time engagement data.

Automate Retention & Engagement Campaigns

  • Ensure shelters stay engaged with automated updates, reminders, and impact stories.
  • Build feedback loops where hotels & shelters can share experiences, photos, and testimonials.
  • Implement long-term engagement automation to sustain network growth without manual intervention.

1️⃣ Outreach Automation Live$100

Make.com workflows fully set up: email sequences, follow-ups, shelter registration automation, hotel donation logging system.

2️⃣ Database Growth: 50 Active Hotels & Shelters$200

At least 50 organizations onboarded (mix of hotels & shelters), confirmed via email sign-ups or CRM logs.

3️⃣ First 100 Successful Donations Facilitated$1,200

→ Verified by:

  • Shelters submitting photos & rich media videos + an interview, OR
  • Shelters donating money and closing a transaction.

4️⃣ Engagement Retention at 70%+ for 3 Months$400

Tracked via CRM logs & repeat pickups within 3 months of onboarding.

5️⃣ Automated Retention & Feedback Loops Active$100

→ System automatically gathers shelter testimonials, photos, and impact stories for long-term engagement.
