Position Overview
MiMentor is seeking a Program Coordinator to support the successful implementation and growth of our key programs. Reporting to the Program Manager, the Program Coordinator will play a pivotal role in program logistics, partnership stewardship, volunteer coordination, communication, and data tracking. This role requires a highly organized, detail-oriented, and mission-driven individual who thrives in a collaborative environment. We believe in elevating all voices, especially those carrying out day-to-day operations and working directly with our student leaders, community partners, and other stakeholders. Our 5 core programs include Medical School Readiness (MSR) plus MedReady MSR Fellows, Health Equity Fellowship (HEF), Health Equity Summer Internship (HESI), Health Equity & Advocacy Leadership (HEAL) program, and our robust elected volunteer “Together We Serve” (TWS) student leader program.
We are a small and growing nonprofit team, which means agility, adaptability, and a willingness to step in where needed are essential. While roles are clearly defined, team members are often called upon to contribute beyond their core responsibilities to ensure the success of our programs and mission. Key Responsibilities
Program Support & Coordination
- Assist the Program Manager in the implementation and coordination of MiMentor’s key programs, ensuring alignment with MiMentor’s mission and goals.
- Coordinate program logistics, including event planning, post-event follow-up and reporting, scheduling, communication with participants and partners, and managing virtual and in-person program details.
- Support the deployment and ongoing use of Asana for program management and tracking, ensuring effective communication and task coordination within the team.
- Assist in gathering feedback from pre-med and pre-health students to support program improvements and iterations.
- Collaborate with the Program Manager to identify opportunities for enhancing program accessibility, inclusivity, and effectiveness.
Volunteer Support & Engagement
- Coordinate communication, support, and community building for volunteer leaders, ensuring they are well-prepared and engaged in program delivery.
- Assist in onboarding new volunteers and maintaining volunteer records and databases.
- Support volunteer training initiatives to enhance leadership skills and program delivery effectiveness.
Community Engagement & Partnerships
- Support partnership outreach and engagement, including communication and meeting coordination with community organizations, academic institutions, and healthcare partners.
- Assist the Program Manager in cultivating and maintaining positive relationships with existing partners.
- Represent MiMentor at events and meetings, as needed, to support community engagement and networking.
Data Tracking & Reporting
- Collect, track, and organize program data and participant feedback to measure program impact and inform decision-making.
- Provide support for grant reporting and development efforts by gathering relevant program data and success stories.
Administrative & Operational Support
- Assist with the creation and distribution of program materials and resources.
- Provide general administrative support, including scheduling meetings, taking meeting notes, and maintaining organized records.
- Support the Program Manager in ensuring efficient program operations and resource allocation.
Qualifications & Experience
Minimum Qualifications
- 2+ years of experience in program coordination, nonprofit administration, community engagement, or a related field. Internships or volunteer leadership experiences will be considered.
- Strong organizational and time management skills, with the ability to manage multiple priorities simultaneously.
- Excellent written and verbal communication skills, with the ability to engage diverse audiences effectively.
- Demonstrated emotional intelligence and strong interpersonal skills, including the ability to communicate with empathy, resolve conflicts constructively, and work collaboratively across diverse teams and stakeholders.
- Tech-savvy with proficiency in Google Workspace (Docs, Sheets, Slides, Forms), Canva, Zoom, and virtual collaboration tools.
- Passion for MiMentor’s mission and a strong commitment to diversity, equity, and inclusion (DEI), particularly in supporting URiM students, with a demonstrated dedication to mission-driven work.
- Willingness to learn and grow within a collaborative, non-hierarchical team environment.
Preferred Qualifications
- Experience coordinating programs or events, particularly in a nonprofit or community-driven setting.
- Familiarity with Asana or other project management software.
- Knowledge of higher education, pathway programs, medical school admissions, or healthcare career development, with a basic understanding of social determinants/drivers of health (SDOH), health equity, and the systemic barriers faced by underrepresented students in medicine.
- Experience working with volunteers or community stakeholders, especially in mentorship, student development, healthcare education, or social impact initiatives.
- Bilingual in English and Spanish strongly preferred.
