Job Overview
The Program Coordinator position focuses their work on supporting the American Association for Thoracic Surgery (AATS) and AATS Foundation committees and programs with strategic initiatives that drive the Association and its Foundation’s mission. This position also assists in varied tasks that support the Administration department as needed. Their principal duties in committee and program work ensures their program activities are met on budget on an annual and quarterly basis and assisting the VP of Administration and CEO. Some travel is required. Some Evening hours are required.

Responsibilities

Foundation Activities

  • Leads, cultivates, and helps shape programs at the AATS Foundation for up to five review committees.
  • Oversees all aspects of program details including program criteria, eligibility, and funding levels.
  • Manages online award applications, applicant reports, and grading sites.
  • Works closely with award applicants, award recipients, surgeon hosts, hospital administrators, surgeon-led committees.
  • Drives program specific activities such as training courses, webinars, annual meeting program related events/receptions.
  • Collaborates with partners to ensure program requirements are met, which includes where required regular administrative meetings, and committee/event coordination.
  • Collaboration and communication with affiliate groups on certain programs.
  • Management of tracking documents for current and prior awards
  • Communication provided but not limited to incoming queries on programs, visa processes, post award correspondence, award letters continued engagement with awardees after completion of their programs and more.
  • Development and provision of programmatic content for AATS marketing platforms.
  • Provides VP of Administration and VP of Development with program related materials for Annual Report and other development related marketing materials.
  • Development and distribution of marketing pieces and program marketing plans (print, digital, email, and social media)
  • Utilization of post-award materials to further promote program
  • Appointment letter drafting and distribution for all relevant committees.
  • Management of subspecialty grading assignments and grant review logistics for research specific committees.
  • Scheduling and coordination of selection calls for formal approval; committee calls as needed for program oversight and agenda/meeting material development for committee meetings
  • Preparation of necessary materials for AATS Foundation Board award recipient approval
  • AATS Foundation Board support as needed to include but not limited to note and minute taking, scheduling of meetings, implementation of program and portfolio assessments etc.
  • Program expense tracking and communication with finance team
  • Providing technology support by building and maintaining program webpage

AATS Activities

Cardiothoracic Residents Committee:

  • Provide guidance and administrative support to assist the Committee and its initiatives.
  • Coordinate three Committee award programs
  • Oversight includes application process, marketing and promotion, selection/review process, notification and funding of awardees, and logistical planning for award related events during the Annual Meeting.
  • Coordination of Committee's Annual Meeting education sessions

Ethics Committee:

  • Assist in Committee's review of policies and facilitates processes on handling ethics complaints as received
  • Conduct the annual AATS/STS Ethics Forum Scholarship

General Thoracic Biology Club:

  • Annual Dinner coordination and scientific session management at Annual Meeting

Job Type: Full-time

Pay: $50,000.00 - $55,000.00 per year
