Job Title: Full-Time Administrative Coordinator 

Reports To: Director of Operations   

NOTE: This role is currently virtual with a plan to return to our midtown Manhattan office when COVID-related concerns can be safely managed. 

The Motherhood Center (TMC) is a perinatal mood and anxiety disorders center committed to providing support for new and expectant mothers and families. TMC offers the nation’s only non-hospital affiliated partial hospitalization program. In addition, the Center offers outpatient therapy, support groups and education for both patients and providers. The Motherhood Ccenter was co-founded by Catherine Birndorf, M.D, a Cornell-trained Faculty reproductive psychiatrist with more than 20 years of experience in perinatal mental health. 

Job Summary: 

The Scheduling Coordinator is a key member of the administrative team, handling tasks that are critical to the daily operations of the center: 

  • Providing administrative support to all clinical staff, including, but not limited to, managing patient scheduling, communicating refill requests and other patient needs, managing patient charts, ensuring expected lab results are returned, and tracking clinician capacity. 
  • Answering phones, handling patient requests and transferring calls as needed. You may also assist with new patient intakes and help to set them up with care. 
  • Working with our billing department to ensure appointments are logged and charged, providing receipts to patients as needed, etc.  
  • When we return to the office, some basic office maintenance, including supply ordering and restocking. 

Qualifications: 

  • Bachelor’s degree 
  • Experience working in, or strong interest in, healthcare preferred. 
  • Strong customer service skills required. 
  • Must be comfortable working in a virtual environment and communicating with colleagues via Zoom and chat. 
  • Strong organizational and computer skills required: You will be working across multiple tools, including our EMR and our billing platform, Microsoft, as well as Excel. 
  • Must be comfortable working in a start-up environment, where job responsibilities may shift and flexibility is required.  

Responsibilities: 

In addition to the above, the Scheduling Coordinator is expected to:  

  • Manage all incoming phone and email requests and ensure urgent patient or clinical needs are triaged and handled appropriately. 
  • Maintain patient records across multiple tools, ensuring all patient data is properly handled and up to date. 
  • Manage all patient scheduling in both our clinical scheduling tool and Zoom. 
  • Work closely with our Clinical Director to track patients who are evaluated at TMC and ensure they are assigned to clinicians for ongoing care in a timely manner. 
  • Assist other administrative staff with patient paperwork, screens, insurance call backs and other tasks as needed. 
  • Attend daily morning meetings with team to review outstanding issues and get aligned for the day.
