Program Lead, Logistics Operations

JOB SUMMARY: The DCO Ops Logistics Operations Program Lead will be responsible for ensuring USADA’s 3PL meets our performance and operational expectations. Primarily this position will act as the liaison between the 3PL and USADA. This role also facilitates the continuous improvement process at the 3PL to ensure there are regular Key Performance Indicators (KPIs) reviews with the 3PL and that the required action items are created and executed. Secondly this position will also oversee the management of USADA’s shipping and inventory room which is responsible for the shipping, receiving, tracking, acquiring and other distribution for the organization. 

 

RESPONSIBILITIES: 


Shipping Logistics 

·    Interfaces with key stakeholders and Doping Control Officer’s (DCOs) in support of the DCO Operations department 

·    Act as primary interface between USADA and the 3PL 

·    Helps manage USADAs Warehouse Management System (WMS) 

·    Drives strategic reviews and analysis with 3PL to ensure performance and operational expectations are being met 

·    Drives KPI reviews with 3PL and ensures they have appropriate action plans 

·    Monitor and plan weekly shipping logistics for the Distribution Administrative Assistant 

·    Monitor and approve all inventory purchase orders  

·    Identify innovative and cost-effective procurement strategies 

·    Preparation of data for negotiations of carrier services, equipment supplies and all vendors to negotiate advantageous terms 

·    Identify cost reduction opportunities through data driven reports 

·    Maintain strong and ethical relationships with transit companies, supply vendors and clients. 

·    Create distribution and procurement standard operating procedures 


Additional Responsibilities

·   Responsible for overseeing the Distribution Administrative Assistant, to include assisting in the hiring process, onboarding, coaching, performance management, time off/payroll approvals, etc.

·   Provide prompt and superior quality customer services to DCOs, and Sample Collection personnel by answering calls and emails

·   Provide general support to USADA DCOs 


GENERAL:

·    Maintain confidentiality at all times

·   Recommend necessary updates and revisions to USADA protocol and procedures as related to Doping Control 

·    Projects and other duties as assigned 

 

REQUIRED QUALIFICATIONS: 

·   3-5 years of applicable experience

·   Minimum of 2 years of relevant work experience in managing supply chain operations, strongly preferred 

·   Excellent oral and written communication skills 

·   Excellent interpersonal skills

·    Ability to work flexible hours and travel as needed 

·    Moderate proficiency in Microsoft Office to include Word, Excel, Outlook, Teams, etc. 

·    Physical requirements: Standing, crouching, lifting, pushing/pulling, up to 50% of the day(4 hours), on a regular basis. Must be able to lift 25 lbs on a regular basis and up to 50 lbs periodically.
