Job Description
The Office of Congresswoman Norma Torres (CA-35) seeks an experienced, highly organized, and detail-oriented Scheduler for her Washington, DC office. This is not an entry-level position. The Scheduler plays a critical role in the office’s success, and works closely with the Chief of Staff, District Director, and District Scheduler to coordinate the Member’s short-term and long-term schedule and travel plans. The ideal candidate will possess strong communication skills, exceptional attention to detail, the ability to prioritize and manage competing demands, works well in a team, has the ability to be act quickly in a fast-paced environment, and a positive attitude. Some late nights may be required.
Expected Responsibilities Include:
· Preparing the Member’s short-term and long-term schedules, and communicating that information to the Washington, DC and district offices;
· Serving as the main point of contact for scheduling requests from constituents, stakeholders, and other congressional offices;
· Receiving and prioritizing recommendations on scheduling requests, events, and meetings;
· Scheduling all DC meetings, interviews, and briefings involving the Member, in coordination with the legislative and communications staff;
· Making travel, ground transportation, and lodging arrangements for the Member and coordinates with the District Office on travel updates and issues;
· Briefing the Member on all scheduling activities for the Washington, DC office, and notifying the Member and staff
· Managing travel-related expenses, including collecting receipts and submitting vouchers for reimbursement;
· Responding to all invitations and meeting requests in a friendly and prompt manner;
· Coordinating with legislative and communications to ensure that the Member has the appropriate materials for meetings, events, and interviews;
· Assisting in purchase of necessary office supplies and other materials as needed- in coordination with the Financial Administrator;
· Help new staff with onboarding process, in coordination with the Financial Administrator;
· Conduct other administrative duties for the office, including special events planning, administration of the personnel system, serving as contact for contracted office services, and other duties as necessary.
· Serve as backup driver.
