Summary of Position:
The Company has an immediate opening for a highly organized and proactive Corporate Communications Coordinator to provide strong administrative support to the Executive Vice President of Corporate Communications responsible for corporate media relations and C-suite communications. The ideal candidate must possess the ability to work efficiently and effectively in a fast-paced and high pressure environment. Candidate must understand the importance of discretion and confidentiality and maintain a high level of professionalism, common sense, attention to detail and keen awareness of day-to-day operations for a high level executive's office. Candidate should have excellent written and oral communications skills and be comfortable interacting with the Company’s senior management team. Candidate should be a resourceful, results-oriented self-starter with a strong ability to multitask and tackle new challenges. Responsibilities include but are not limited to the following:
Handle daily administrative duties including answering phones, scheduling conference calls and maintaining call logs
Maintain comprehensive project lists and reports
Transcribe hand-written meeting notes, edits to announcements and other materials
Organize department folders and files
Coordinate department billing and file expense reports
Handle a high volume of incoming and outgoing mail
Prepare calendars of executive speaking engagements/opportunities and special features in the press
Compile ongoing “real time” media coverage of the Company to circulate to the senior management team and Board of Directors
Liaise with information technology and office services for department needs
Conduct research in support of CEO and other senior management speeches and presentations
Interact with senior executives and their offices to prepare for Board of Director meetings and quarterly analyst calls
Prepare press releases to be sent over PR Newswire and to key media outlets
Review press releases submitted to Corporate Communications for approval from the Company’s business units
Coordinate Company’s philanthropic giving initiatives, processing invoices and interacting with outside organizations
Interact effectively and comfortably with senior management, the media and all levels of staff within the company
Schedule executive travel
Experience & Skills:
Minimum 2-3 years of experience as an Executive Assistant/Coordinator supporting C-level executives in a relevant field
Strong verbal and written communication skills marked by diplomacy and discretion
Excellent time management and organizational skills
Highly motivated, resourceful and very detail-oriented
Exceptional multitasking and prioritizing skills
Possess strong interpersonal skills
High proficiency using Microsoft Office (Outlook, Word, Excel, PowerPoint, etc.)
Ability to work independently as well as with a team
Bachelor's Degree preferred
