EII seeks a full-time Finance and Operations Administrator to support the organization’s finance and administration systems and workflows. This position reports to the Finance Director. The Finance and Operations Administrator will ensure that EII’s electronic finance and administration filing system (Google) is updated and accurate; facilitate the administrative needs of new and existing grants; provide back up on the EII accounts payable process and other critical functions; and provide general professional support.

This person supports EII’s internal processes as the organization continues to increase its global reach to support sustainable, forest-friendly development in tropical forest nations. The Finance and Operations Administrator regularly accesses highly confidential and sensitive information and interacts with a diverse group of individuals.  Thoughtful, independent judgment is required to plan, prioritize and organize tasks.

This is an exciting remote opportunity for a US-based administrative professional looking to support the internal capacity of a small, well-respected, high-impact, collaborative organization and grow as a nonprofit administrative and management professional.

Responsibilities

Administration    

  • Maintain the EII Finance and Administration filing system
  • Provide phone and mail management (through Sasquatch)
  • Monitor EII department emails
  • Provide travel scheduling assistance to the Executive Director and, occasionally to the regional teams        
  • Maintain EII charity registrations
  • Support the Finance Team, Executive Management Team, and regional program teams to coordinate grant implementation and administration, including reports
  • Support to Finance and Operations Associate in preparation of Board meetings     
  • Maintain EII's Zoom platform, downloading, and organizing videos, chats, and texts for groups that use the Zoom portal.
  • Provide tech-support and troubleshoot for colleagues
  • Provide related administrative, operational, logistical, and development support as needed

Finance

  • Assist in all audit and spot check processes
  • Download and distribute monthly bank statements        
  • Create monthly employee timesheets        
  • Distribute timesheets to employees each month        
  • Verify that prior month timesheets are complete        
  • Download and payment confirmations
  • Train for and understand the Accounts Payable process, provide back up as needed

Qualifications

The successful candidate will be very organized, diligent and efficient with at least three years of full-time professional administrative experience at a nonprofit organization. They will be team-oriented with a “can-do” attitude and an agile and flexible work style. They will be a clear and direct communicator and adept at managing multiple deadlines in a fast-paced environment. This person must be a proactive, solutions-oriented professional who takes initiative in moving tasks forward and developing more efficient ways to improve organizational effectiveness.

  • Excellent organizational skills, attention to detail, and ability to prioritize
  • Excellent computer skills, specifically proficiency with Microsoft Excel and cloud-based file storage systems such as Google Drive
  • Strong English writing skills
  • Ability to work flexibly in both a collaborative team environment and independently
  • Strong interpersonal skills and experience working with a diverse set of colleagues
  • (Preferred but not required) Ability to write and speak Spanish and/or Portuguese
  • (Preferred but not required) Experience working internationally
  • Candidates must be qualified to work in the United States and able to occasionally travel and work outside normal business hours when required.
