Position: Executive Assistant to the EVP, Chief Marketing, Communications and Advocacy Officer

Department: Marketing, Communications & Advocacy

Role Overview: We are looking for a savvy and mission driven Executive Assistant to provide outstanding support for our EVP, Chief Communications, Marketing & Advocacy Officer, as well as operational support for the larger team.

The focus will be on maximizing the day-to-day productivity of the Chief Communications, Marketing & Advocacy Officer by overseeing the flow & exchange of information, streamlining interactions, and facilitating initiatives on behalf of the CCMAO. It will also include complex logistics, substantial calendar management (including meeting coordination), invoicing, reporting, note taking, tracking departmental expenses and overall project management. 

What you’ll get to do here: 

  • Maintain an accurate and detailed calendar for the CCMAO; manage and log incoming scheduling requests, reschedule meetings upon request, proactively communicate changes and anticipate & respond to scheduling conflicts
  • Prioritize the CCMAO’s tasks and projects daily, organize documents or materials requiring input and/or approval
  • Track and reconcile monthly credit card statements; complete and submit monthly expense reports in a timely manner
  • Build itineraries and arrange travel for CCMAO as needed
  • Oversee the creating of briefing documents, including talking pints, event briefings and PowerPoint slides, with input across the team, as needed
  • Organize internal and external meetings for the CCMAO, including notifying attendees, reserving conference rooms, handling logistics, drafting and distributing agenda, and taking minutes
  • Collaborate with other administrative assistants to successfully coordinate schedules across teams and Lincoln Center constituents
  • Other duties as assigned 

Support for Communications Marketing & Advocacy Team Operations

  • Act as finance liaison for the department, preparing and processing inclines and purchase orders, tracking against budget and reconciling expense reports
  • Executing contracts and settlements once terms are set with vendors (consultants/photographers, etc). 
  • Managing the maintenance of departmental database, Monday.com, with a focus on ensuring integrity of data (working closely with department Chief of Staff)
  • Managing departmental administrative affairs including operational needs of the Comms, Marketing & Advocacy team and liaising with other LCPA departments; organizing regular staff and interdepartmental meetings, maintain supplies and coordinating technical support from IT
  • Manage Live from Lincoln Center Residuals (training provided). Fill out DGA forms and send checks according to DGA instructions. Work closely with Finance and Legal departments
  • Other duties assigned 

You’ll be a fit if you bring: 

  • Strong interest in marketing/communications/advocacy and passion for the performing arts 
  • At least 5 years’ experience in a similar role (C-Suite experience preferred
  • Prior experience with complex calendar management
  • Exceptional and diplomatic communication skills, both written and verbal
  • Quantitative skills and some bookkeeping experience (preferred) 
  • Exceptional organizational and project management skills, with strong attention to detail 
  • Creative, proactive and efficient approach to problem solving
  • Prior experience generating, formatting, and analyzing reports
  • Experience working with databases and ensuring data accuracy and integrity
  • Strong written and verbal communication skills or equivalent combination of education and experience
  • Willingness to work weeknights and weekends at performances/events on occasion
  • Proficiency in MS Word, Excel, and PowerPoint
  • Bachelor’s degree or equivalent combination of education and experience
