Job Description
King’s Chapel in Boston is seeking a full-time, experienced Parish Administrator to oversee and manage the administrative and financial life of this active congregation. King's Chapel is an historic monument and a living congregation. We blend old and new – a church founded in 1686, and a community of people open and searching, still learning how God can be more real and understandable to each of us in our daily lives. We have weekly worship services in two locations, unique music programs, and are located on the historic Freedom Trail.
Position Summary
As a prominent face of King’s Chapel for members and the public, the Parish Administrator provides a warm and welcoming atmosphere while serving as the key professional managing and overseeing daily operations. In that capacity, the Parish Administrator ensures the smooth and efficient functioning of the administrative office of King’s Chapel, directs the church’s day-to-day finances, and supervises 4-6 staff, including the Sexton and the Director of the Visitor Program.
The Parish Administrator provides executive support to the Senior Minister, and some office support to the Assistant Minister, Wardens, Treasurer, and Parish Council. In addition, the Parish Administrator leads and oversees all internal finance, accounting, and payroll activities for the Church, and oversees the upkeep and maintenance of the church’s buildings. The Parish Administrator serves as a senior member in the church leadership team of talented, committed, and supportive colleagues.
King’s Chapel has approximately 200 members and friends, and a budget of $1.1 million.
Duties and Responsibilities
Administrative
The Parish Administrator is responsible for the supervision and management of the administrative functions of King’s Chapel including all human resource functions such as staff hiring, payroll, and benefits administration. The Parish Administrator also plays a leadership role in overseeing and guiding the growth of the church’s Visitor Program. Effective communication and reporting capabilities, excellent organizational and management skills, and the capacity to foster a high level of collaboration are key.
Budget and Finance
The Parish Administrator oversees the budget in collaboration with the Treasurer, directing and managing the financial health of the church in concert with the Leadership Team and the Vestry. On an operational basis, the Parish Administrator is responsible for overseeing payroll processing, organizing fulfillment of accounts receivable and payable, and managing cash flow. In this capacity, the Parish Administrator also provides support to the church’s annual stewardship campaign.
Facilities Management
The Parish Administrator is responsible for overseeing the maintenance of the church’s buildings, grounds, and property and for the scheduling and smooth administration of the church’s calendar in collaboration with the Sexton. The Parish Administrator also seeks to increase revenue from rentals of church spaces to non-profit organizations for meetings, events, and services.
Communications and Community Relations
The Parish Administrator is responsible for promoting a positive image of the church throughout the Boston community and strives to expand and improve the church’s communications and website. The Parish Administrator oversees the production of our online newsletter, membership mailings, and special email blasts and other communications to announce meetings and events.
Qualifications
3-5 year’s solid work experience • Strong interpersonal and communication skills • Prior experience managing an office including hiring and managing staff or running a small business or non-profit organization• Outstanding organizational skills and attentiveness to detail, and excellent skills in supervision and oral/written communication • Ability to prioritize tasks, meet deadlines, and maintain confidentiality • Capacity to maintain accurate and up-to-date records • Independent proactive self-starter and friendly collaborative team player • Competence working with numbers—data analysis, finances and report generation.• Advanced facility with Google Suite, QuickBooks, Adobe Acrobat Pro, Microsoft Office, website (Weebly) and interest in learning new technology as needed • Willingness to work occasional weekend days and attend evening meetings • Direct experience with congregational life and systems a plus
Position reports to Senior Minister
Exempt; full-time; salaried
Work schedule: 40 hours/week, 12 months/year
Salary: $75,000 - $85,000 per year commensurate with experience
