Family Defense Program- Program Coordinator

Americans for Immigrant Justice (AI Justice – formerly FIAC), a not-for-profit law firm founded in 1996 to protect and promote the basic human rights of immigrants, has a multicultural and a multilingual staff. DUTIES:
AI Justice’s Family Defense Program (FDP) is seeking a qualified Program Coordinator who will maintain accurate client and outreach data, support the planning and execution of legal screening clinics and community presentations, provide administrative support to staff, and perform other related duties. The Program Coordinator will be responsible for following duties:
- Act as primary point of contact for initial inquires for legal services and referrals, initial inquiries from other agencies and organize and coordinate multiple aspects of the Program;
- Responsible for the prompt and accurate entry of client and outreach data in AI Justice’s database, Legal Server (LS);
- Route all intakes for opening to data entry, checking the data for completeness and clarity;
- Coordinate scheduling of attorneys and paralegals for necessary coverage of off-site locations and/or intakes (in-office and off-site);
- Work with the Director to expedite case review and assignments to staff;
- Attend trainings and meetings as required by grantors;
- Scans closed cases directly into client’s LS case profile to eliminate the need for paper files;
- Create marketing materials for FDP events and activities, such as Legal Screening Clinic and Know Your Rights (KYR) presentations;
- Assist with event coordination, including preparing supplies for clinics/KYR presentations and confirming volunteer attendance;
- Attend evening and weekend clinics/KYRs, as needed, and assist with coordination of events and volunteers;
- Responsible for covering and maintaining FDP phone coverage during business hours;
- Provide information via phone and email about services provided, as well as update voicemail greeting to contain information on intakes;
- As delegated, draft client communications including closing letters with referral lists to clients on behalf of assigned attorney;
- Conduct intakes in-person (in the office or at clinics) or via phone, as needed;
- Assist attorneys/accredited representative with immigration form preparation and filings with United States Citizenship Services (USCIS), Executive Office for Immigration Review (EOIR), and other agencies if applicable;
- Provide support to attorneys and director through various form of client communications, document gathering, submitting FOIA requests, translations and interpretation;
- Keep track and assign contacts for all remote general volunteers, attorney volunteers and other volunteers for intakes, consultations and clinics;
- Supervise, train and assign tasks to undergraduate interns each semester;
- Coordinate in-office intakes; and
- Perform other duties as assigned.
QUALIFICATIONS:
- Clear understanding of client confidentiality and on-line security issues essential.
- Fluency in written and verbal Spanish and English or Haitian Creole and English REQUIRED.
- Good writing skills in English required.

- Ability to adapt to high-volume workload with fast changing deadlines and priorities;
- Demonstrated commitment to advocating on behalf of immigrant rights strongly preferred.
- Familiarity with Microsoft Office and other applications required and Sharepoint preferred.
- Knowledge of client database systems preferred.
- Must have own transportation.
- Enthusiastic about and committed to working alongside people from diverse cultural, educational, professional, and socioeconomical backgrounds. A demonstrated belief in diversity, inclusion, and equity for all individuals.
- Ability to work independently and under pressure.
- Comfortable working in a collaborative environment that values giving and receiving feedback.
- Must be willing to submit to an extensive background check, including FBI, statewide repository, and sex offender registry checks.
EDUCATION:
· BA degree required.
LOCATION:
Candidate must be based in Miami, FL. Position eligible for work from home, hybrid, or in-office designation in accordance with AI Justice Job Classification Policy.
Salary & Benefits: Salary starts at $50,000. AI Justice offers a comprehensive benefits package, including excellent health, vision, and dental, and life insurance coverage; 15 paid days of vacation leave; 13 paid holidays; 10 paid health days; 1 personal day. Tri-Rail discount commuter benefit and $50/month cell phone stipend to off-set communication expenses. After one year of employment, staff are entitled to paid parental leave and up to 3% matching employer contribution to 403(b) retirement plan with increase eligibility thereafter.
