Description of Job

Position Title: Deputy Director of Executive Operations
Hiring Salary Range: $84,000 - $90,000
FLSA Classification: Exempt (not over time eligible)
Organizational Relationships: Reports to Deputy Chief of Staff; has direct supervisory authority over administrative positions as assigned.
Expected Annual Travel: Minimal, primarily local

Summary of Functions:
This role supervises the administrative positions within the Governor’s office and coordinates Governor’s Office (GO) executive operations. Typical work will include supporting program teams, managing the office environment, overseeing equipment and facilities needs, mansion operations, and oversight of technology resources. This is a supervisory position over 3.5 FTE.

Roles & Responsibilities:
  • Works to ensure smooth operations and systems across departments, including, bulk supplies and large equipment requests, and Capitol office management and maintenance needs.
  • Manages and tracks all IT related purchases for all staff within the Governor’s Office.
  • Works with staff to help launch, support and manage new internal, document management or software processes such as Inventory and Information Technology Asset Management.
  • Acts as a liaison between the Governor’s Office and OIT as the Product Director.
  • Creates and helps foster a welcoming, positive, productive and inclusive office environment for staff, partners and visitors.
  • Manages and supervises the Front Desk and Scheduling Assistant position (1 FTE).
  • Working closely with HR and Payroll, assists in new employee orientation and ensures employee onboarding/offboarding processes are complete including equipment tracking and access, orientation, etc.
  • Works closely with the Governor's Office scheduling team and special assistant to ensure smooth operations and logistics for the Governor while in office and traveling.
  • Manages the Governor’s Intranet and keeps office wide policies published and updated.
  • Works between all offices within the Office of the Governor to ensure policy implementation and development.
  • Represents the Governor’s Office on the Capitol Advisory Building Committee and attends all board meetings.
  • Oversee administrative functions for the Governor’s Office with Capitol Complex.
  • Oversees all operations at the Governor’s Residence and supervises Residence staff and manages Residence budget and spending (1.5 FTE).
  • Works with the Governor's Scheduling team to schedule events/meetings at the Residence.
  • Manages special projects related to the Governor’s Residence, such as property management, grounds keeping projects, etc.
  • Oversees the implementation of accessibility policy in the Governor’s office and supervises the Accessibility Program Manager. Oversees the accessibility fund and related spending.
  • Orders office supplies and other related items as necessary; spending approval authority up to $10000.
  • Other related duties as assigned. May include tasks such as system testing, reports, reconciliation, event planning, participation on committees, creating and delivering presentations, participating in projects, research, and administrative tasks.

Education and Experience:
  • Passionate commitment to efficient office operations in support of the Governor’s Office.
  • Possesses friendly, professional manner and can-do/solutions oriented, customer service orientation.
  • Requires exceptional organizational, communication, and problem-solving skills to keep our office’s daily operations running smoothly; strong critical thinking, problem recognition/avoidance/resolution skills.
  • In addition to strong attention to detail, requires professional written and verbal communication skills, and familiarity with modern workplace software programs and tools.
  • Proven time management skills.
  • Ability to foster diversity, equity, and inclusion in all duties.

Preferred Qualifications:
  • Three years in a similar role.
  • Experience with Google Suite (Gmail, Google Calendar, Google Docs, Google Spreadsheets) preferred.
  • Experience with licensed software such as Zoom, Envoy, Microsoft Team preferred
