Job Description
The Texas Cultural Trust, established in 1995, is a 501(c)(3) nonprofit organization whose mission is “to be the leading voice of the arts in education, advocacy, and economic impact in Texas, spotlighting the artistic excellence of our state.”
The Trust is governed by a 37-member Board of Directors comprised of industry and business leaders, arts patrons, and artists from across the state who are passionate about the benefits of the arts to the state of Texas. The organization has built a strong group of programs that promote and support the arts, including:
- Art Can, which conducts research and publishes data quantifying the economic and educational impact of the arts in Texas.
- Texas Medal of Arts Awards, a biennial awards show and gala honoring notable Texans across a broad spectrum of arts disciplines.
- Texas Young Masters, a program administered jointly with the Texas Commission on the Arts (TCA) that awards scholarship grants to deserving young artists across artistic disciplines.
- Texas Women for the Arts, a statewide giving circle and membership program with more than 220 members. Since its inception, it has awarded more than $5 million to arts organizations across Texas, impacting nearly $4 million children.
- Arts Access, which examines needs and opportunities to increase access to the arts, culture, and arts education for all Texans through resources, programming, and financial support.
- Partners in the Arts, a growing consortium of arts organizations, artists, and arts patrons across Texas.
Summary
The Development and Events Assistant will lead, execute, and support: event planning and coordination, development engagement and operations, constituent management, outreach communications, administrative responsibilities, and other projects as needed to ensure programs run efficiently and effectively. The successful candidate will be organized, have strong problem-solving and communication skills, and is a planner.
Responsibilities
Programs & Events
- Assist with the management and administration of the Trust’s Texas Women for the Arts program, including membership, events, and travel.
- Work in-person events, including attendee check-in and day-of event logistics.
- Liaison with and manage partners, donors, and vendors. Vendors include restaurants, hotels, photographers, florists, catering, and transportation.
- Ensure positive experience for attendees.
- Create and design registration pages, invitations, itineraries, schedules, and run-of-shows as needed.
- Maintain records on event activities, SOPs, budgets, status, and post-event summaries.
Database & Donor Management
- Manage donor database records, data entry, and reporting in DonorPerfect.
- Track contributions and oversee donor and constituent acknowledgment letters.
- Manage and support record keeping, communications, mailings, constituent engagement, development, and donor communications.
Development & Grants
- Conduct research for prospective funding opportunities and in-kind support through individual, corporate, and grant sources.
- Assist the Director of Programs with grant writing, deadline tracking, and scheduling meetings with granting organizations.
General Administration
- Draft correspondence, maintain and update calendars, and schedule meetings or other events.
- Answer phones, run errands, and perform other administrative duties as needed.

Knowledge and Experience
- Minimum of 1-2 years of experience in event planning, coordinating, and executing.
- Experience with hospitality and hotels (reservations, room blocks, venue rentals) preferred.
- Proficiency in Microsoft Office Suite.
- Strong project management experience.
- Experience as a Staff Assistant, Administrative Assistant, or similar support role.
- Experience with CRM software; DonorPerfect or similar platforms is preferred.
- Proficiency with Adobe Acrobat, WordPress, Canva, and email marketing platforms such as Constant Contact is preferred.
- Experience in donor relations, business development, or fundraising is preferred.
Compensation
- $40,000–$48,000, based on experience
- Full-time, in office position
