You will manage SIF’s donor and prospect database, support gift processing and acknowledgements, produce development reports, coordinate donor communications and events, and help the advancement team stay organized and on track toward its fundraising goals.

This position is an integral member of a small, collaborative advancement team and reports directly to the Director of Advancement. You will also work closely with SIF’s Executive Director, other senior leaders, and external development counsel.

We are looking for someone who is organized, detail-oriented, proactive, and interested in SIF’s mission of accelerating social impact in Eastern Massachusetts. SIF’s work environment can be fast-paced, and priorities can shift. Success in this role requires strong independent time management, flexibility, collaboration, and the ability to manage multiple responsibilities with care and accuracy.

What You’ll Do:

Development Operations & Database Management | Approximately 60%

  • Manage SIF’s Salesforce donor and prospect database, ensuring records are accurate, current, and maintained according to established data and gift-entry practices.
  • Process and acknowledge philanthropic gifts received through checks, electronic transfers, donor-advised funds, online giving platforms, and other sources.
  • Ensure gifts are entered accurately and promptly and donor acknowledgements are completed in a timely manner.
  • Generate regular development reports and ad hoc reports requested by senior leadership and development counsel.
  • Support the Executive Director and other senior leaders with their development activities, including tracking meetings, follow-up activities, and next steps.
  • Reconcile development records with monthly financial reports in partnership with the Finance Department.
  • Maintain accurate and organized electronic development files.
  • Produce donor and prospect lists for mailings, outreach, events, and annual development planning.
  • Develop and maintain tracking systems that support SIF’s fundraising and donor stewardship activities.
  • Track deadlines for current and prospective institutional funders and assist with grant proposals and reports.
  • Conduct research on prospective institutional and individual donors.
  • Provide administrative support to the advancement team, including preparing meeting agendas, taking notes, and tracking follow-up items.

Donor Communications & Events | Approximately 30%

  • Communicate professionally and effectively with donors, volunteers, partners, and other SIF stakeholders.
  • Support the preparation of reports and other materials required by foundation funders.
  • Review and refresh donor acknowledgement letters twice annually and as needed.
  • Assist with fundraising appeals, mailings, and email campaigns.
  • Coordinate the distribution of SIF’s Annual Report, Annual Appeal, and other development communications.
  • Assist with the creation and preparation of development collateral, mailings, and email communications.
  • Prepare materials and collateral for donor meetings, events, and site visits.
  • Coordinate event logistics, including invitations, RSVPs, attendee tracking, communications, room setup, materials, catering, and technology needs.
  • Attend and support advancement events and prospective funder site visits, as appropriate.
  • Support the planning and execution of major annual events.

Cross-Department Administrative Support | Approximately 10%

  • Provide support across SIF departments, on projects including (but not limited to) events, program offerings, and nonprofit communications.
