Position Summary
The Development Operations Coordinator serves as a key operational partner to the Chief Development Officer and the Development Team, ensuring the systems, data, and processes that support fundraising efforts are executed with excellence.
This role is responsible for maintaining accurate donor data, supporting timely and meaningful donor communication, and producing clear, actionable reporting. The ideal candidate brings strong organization, attention to detail, and follow-through, enabling the team to build and sustain impactful donor relationships that advance the mission of WorkFaith.
This is a behind-the-scenes role for someone who enjoys creating order, managing details, and ensuring nothing falls through the cracks in a fast-paced, mission-driven environment.
Experience:
· Proficiency in Microsoft Office (Excel, Word, Outlook, Teams)
· Experience with CRM systems (HubSpot strongly preferred)
· Strong organizational skills with the ability to manage multiple priorities and deadlines
· Comfort working with data, reports, and dashboards
· Strong written and verbal communication skills
· Ability to build relationships and communicate professionally with internal and external stakeholders
Key Responsibilities
- Design and implement comprehensive fundraising plans to meet annual revenue targets, including major donor solicitations, corporate partnerships, and foundation grants
- Identify, research, and engage high-net-worth individuals and institutions to secure significant contributions
- Lead the creation of a robust fundraising team, including hiring, training, and mentoring staff to establish a high-performing department capable of sustained success.
- Collaborate with the executive team to align development activities with organizational priorities, ensuring resources are allocated effectively for current programs and future projects
- Manage donor stewardship programs, including personalized communications, events, and recognition efforts to maintain long-term support
- Analyze fundraising data and metrics to refine strategies, track progress, and report outcomes to the board and leadership
- Represent WorkFaith at external events, networking opportunities, and community gatherings to expand the donor base
- Provide insight into proposal creation, grant applications, and impact reports that highlight WorkFaith’s achievements and needs
- Ensure compliance with all relevant fundraising regulations and ethical standards.
- Contribute to strategic planning sessions, providing insights on resource development to support organizational growth
QUALIFICATIONS:
Education: Bachelor’s degree preferred but not required
Experience: 2–5 years of administrative and operations, or development support experience (nonprofit experience preferred)
Core Responsibilities:
CRM & Database Management (HubSpot)
· Maintain accurate and up-to-date donor records, including contact information, engagement history, and giving activity
· Ensure all donor interactions are properly tracked and recorded in the CRM
· Generate and manage donor lists, segmentation, and reporting
· Ensure data integrity and consistency across all development systems
· Support donor and attendee data tracking for fundraising events, including imports, segmentation, and post-event reporting
Donor Communication & Administrative Support
· Draft and send donor correspondence, including acknowledgments, confirmations, and follow-up communication
· Track communication timelines to ensure consistent and timely donor engagement
· Support execution of donor touchpoints as directed by the Chief Development Officer
· Prepare materials for donor meetings, presentations, and communications
Grant & Administrative Support
· Coordinate grant submission timelines, deadlines, and reporting requirements
· Maintain grant tracking systems and ensure all deadlines are met
· Prepare, format, and organize grant-related documents
· Maintain organized and accessible grant files and records
Reporting & Dashboard Management
· Create and maintain dashboards and reports to track fundraising progress and key performance indicators
· Support weekly, monthly, and quarterly reporting needs
· Ensure accuracy, clarity, and consistency of data presented to leadership
· Identify and flag inconsistencies, gaps, or opportunities within reports
Administrative & Operational Support
· Provide general administrative support to the Development Team
· Maintain and organize shared files, documents, and systems
Assist in improving processes and workflows to increase efficiency
C. Additional Responsibilities
· Coordinate calendars, scheduling, and meeting logistics for development-related activities as needed
· Format letters, reports, presentations, and internal documents for clarity and consistency
· Provide data entry and administrative support across development systems

Work Environment

Job Type: Full-time
Pay: $55,000.00 - $60,000.00 per year
