POSITION SUMMARY
Reporting to the Director of Development of the Mortimer B. Zuckerman Mind Brain Behavior Institute, the Development Program Coordinator will join the Zuckerman Institute at an extraordinary moment as it begins its second decade. A world-class neuroscience institute, the Zuckerman Institute brings together more than 850 researchers to study the mind and brain in ways that will lead to transformative discoveries.
The Development Program Coordinator is an important member of the Zuckerman Institute development team and provides executive, overall administrative, and program support to the Zuckerman Institute development office.
RESPONSIBILITIES
Responsibilities include, but are not limited to, the following:
- Provides executive support for the Director of Development.
- Assists in coordinating logistics and execution of development events for select groups of alumni/parents/friends of the Zuckerman Institute. This also includes being available to help work the events.
- Maintains and manages all aspects of tracking biographic and demographic information on a growing list of prospects and donors in the Athena databases as well as the Institute’s Mailchimp account. This includes, but is not limited to, tracking event invitees and attendees, managing subscription and coding for individual records, updating contact information, and contact reports.
- Generates prospect, constituent, demographic, and regional reports for the development team and supports discovery, cultivation, solicitation, and stewardship activities.
- Oversees all administrative functions and responsibilities associated with the management and maintenance of an extensive calendar of activities for the Institute, including the coordination of travel arrangements, and preparation and submission of travel expense reports for the members of the development team.
- Researches information for annual giving appeals and assists in the preparation of solicitation and stewardship communications through direct mail and e-appeals.
- Liaises with the Office of Gift Systems to oversee all gift processing and submitting gift transmittal forms for Zuckerman Institute related gifts.
- Works collaboratively with other staff within the Office of Alumni and Development community and at the Institute. Successfully and proactively partners with university academic officers, administrators, volunteers, and across various units throughout the alumni and development community to promote the strategic vision of the Zuckerman Institute.
- Organizes materials for meetings with donors, prospects, and regular team meetings.
- Performs additional duties and special projects as needed.
MINIMUM QUALIFICATIONS
A bachelor’s degree and/or its equivalent is required. At least two (2) years of relevant experience required. Strong proficiency in Microsoft Office necessary. Must possess strong analytical and communication skills.
Occasional weekend and evening work required.
Demonstrated ability to work in a high pressure, fast-paced environment. Demonstrated excellence in a variety of competencies including project management, teamwork, and client/customer awareness. Must possess the ability to work changing priorities and multiple projects. Excellent analytical, organizational, interpersonal, oral and written communication skills, including a high level of attention to detail and active listening skills.
The successful candidate must be a strategic thinker, ensure the utmost discretion in all matters, as well as possess the ability to work well with all levels of management, both internally and externally. Must be flexible in nature and have sound judgement with a collaborative style that fosters teamwork and cooperation beyond the immediate team to the broader organization. Must have a passion for excellent customer service and commitment to exceptional quality.
PREFERRED QUALIFICATIONS
Prior experience working in higher educational institution, or similar not-for-profit organization, highly preferred.
OTHER REQUIREMENTS
Subject to business needs, the Office of Alumni and Development supports a hybrid work arrangement for this position. Options will be discussed during the interview process.
