Role Summary
PCRF seeks a Director of Philanthropy Operations to lead the systems, data, and team behind our $70M+ annual giving program. Reporting to the VP of Development Operations and Strategy, the Director ensures every gift, across every channel, is processed accurately, recorded reliably, and turned into data that drives fundraising strategy and donor relationships. This is a leadership role: you'll manage the gift operations team, own the Salesforce (NPC) roadmap, and build infrastructure that scales as our fundraising grows.
The position works collaboratively across development, finance, IT, and communications teams to ensure that donor and gift data are accurate, timely, and aligned with organizational priorities and funding strategy.
Key Responsibilities
- Team leadership & staff development: Train, supervise, and develop the gift operations team (CRM Admin/Manager and gift processing staff), with responsibility for training other development staff on systems and data practices, cross-training plans, and a culture of accuracy and accountability.
- Gift processing & internal controls: Direct the full gift lifecycle across all payment types, from receipt through acknowledgment and reconciliation with Finance, and establish internal controls including segregation of duties, batch approvals, and audit trails.
- Donation platforms & payment processor management: Oversee and manage all payment processors and giving platforms feeding Salesforce (website, GoFundMe Pro, peer-to-peer, events), including integration design, vendor accountability, and evaluation of new platforms.
- CRM strategy & data hygiene: Set data architecture and data hygiene standards for Salesforce, including deduplication, entry standards, and audit cadence, supporting the CRM Admin/Manager with ongoing database integrity and priorities.
- Reporting & data integrity: Ensure leadership and frontline fundraisers get clean, audit-ready data and dashboards that answer strategic questions.
- Compliance & risk: Lead compliance with IRS substantiation rules, PCI-DSS, and donor privacy, and serve as revenue liaison for the annual audit.
- System & process improvement: Identify and lead improvements to systems and workflows that increase efficiency, reduce errors, and embed best practices, including platform upgrades, migrations, and vendor and budget management.
- Cross-functional partnership: Partner with Finance, Comms, and IT as a key advisor on scalability, capacity, and risk.
Minimum Qualifications
- 12+ years of progressive experience in nonprofit development/fundraising operations, gift processing, or CRM administration, including 5-7 years in a people-management role.
- Hands-on, advanced administrative experience with Salesforce, specifically NPC, including Flows, reporting, and data model management. Salesforce Administrator certification preferred.
- Demonstrated experience reconciling revenue across multiple donation platforms (e.g., GoFundMe Pro, Classy, Network for Good, OneCause, DAF360, or similar) into a central CRM, including managing payment processor and platform vendor relationships.
- Strong understanding of gift accounting principles, IRS gift substantiation requirements, nonprofit revenue recognition, and internal controls (segregation of duties, audit support).
- Proven ability to manage a team, lead process improvement initiatives, and build scalable, well-documented processes.
- Experience training and developing staff beyond direct reports (e.g., training development teams on CRM use and data practices).
- Working knowledge of PCI-DSS compliance for payment processing.
- Excellent analytical skills with experience building dashboards/reports for executive and board audiences.
- Experience supporting a fundraising program at the $75M+ annual revenue level.
- Experience managing system integrations/middleware.
- Bachelor's degree in a related field (or equivalent professional experience).
Position Details
This is a full-time position based out of the Burbank, CA office (preferred, but it may be remote). Standard work hours are Monday through Friday, 8:00 a.m. to 5:00 p.m. Pacific Time, with flexibility to adjust hours to accommodate meetings scheduled in Eastern/Central Time. This position requires occasional evening, weekend, and on-call responsibilities, as well as occasional travel.

Compensation & Benefits
Compensation range: $100,000-$110,000, commensurate with experience.
