Job Summary: The SRO Families Program Assistant (PA) maintains the administrative and informational systems to support the Case Management of the SRO Families Rental Subsidy Program and the SRO Families United Collaborative (SROFU) on a day-to-day basis. The PA works with the Senior Community Organizing Supervisor (SCOS), the two CCDC Rental Subsidy Organizers (RSO) and one External Rental Subsidy Organizer to complete monthly service reports for contracts and grants, assists with special projects/events/workshops, and supports with general clerical duties. Assist in meetings and group gatherings with preparing agendas, note taking, and post meeting follow ups. The position requires a motivated individual who is eager to learn about the “big picture” of community building but can also perform the detailed day to day administrative operations necessary to operate the program critical to community building. To be successful at this, the PA must pay careful attention to detail, have strong interpersonal communication skills, be highly organized, and be a strong problem solver. S/he must enjoy working independently and across different topic areas and must thrive in a casual, yet fast-paced professional environment. This position is ideal for someone who is tech-savvy.
Status: Full-time, Nonexempt, Temporary (present - June 30, 2024)
Location: Chinatown neighborhood, San Francisco
Hours: Monday through Friday, 9:00a.m. - 5:30p.m., plus occasional weekend and night hours (32 - 40 hours per week)
Salary: $47,947 - $50,470 annually

Job Responsibilities
- Provide general administrative support for the SCOS and SROFU programs, including calendaring, monthly program meetings, and other administrative duties.
- Support SCOS to coordinate administration of contracts, grants, budgets, time allocations, and invoicing.
- Coordinate with SCOS and RSOs to complete monthly service reports.
- Work with SROFU partners with timely monthly and quarterly service reports.
- Prepare meeting agendas and take notes in team meetings.
- Assist RSOs with ‘housing search’. Finding private market rentals, collection of documents, and program funding request for family ‘move-ins’.
- Assist Rental Subsidy families with DAHLIA, affordable housing lottery screening portal.
- Assist SROFU partners and RSOs with families’ intake and exit forms.
- Work with the SCOS in maintaining the ‘Apricot’ case management system for the Rental Subsidy Program (RSP), and assist with integrating to SROFU, as needed.
- Assist SCOS and SROFU partners with the Department of Building Inspection (DBI) annual audits and the Mayor’s Office of Housing and Community Development (MOHCD) annual RSP audits, preparing reports and presentation on annual deliverables.
- Maintain strict confidentiality on matters relating to support of the RSP and SROFU.
- Prepare presentation materials related to SROFU and RSP as requested.
- Assist in reports related to SROFU and RSP as requested.
- Perform other word-processing, photocopying, and faxing as requested, uploading, pdf management, filing hard copies as needed, filing digital copies as needed, etc.
- Assist SCOS with annual SROFU deliverable allocation and ‘Neighborhood’ population count, and ratio.
- Assist RSOs with delivering ‘gift baskets’ to program participants, as needed.

Minimum Qualifications
- High School Diploma or equivalent (HS or G.E.D.) or one year (1) experience in comparable field.
- Two (2) years administrative experience, or equivalent combination of education and experience
- High proficiency with Office 365, iOS, social media platforms, and other cloud-based and database systems
- Knowledge and experience in organizational effectiveness and operations management
- Sensitivity to issues facing homeless, elderly or low-income populations
Preferred Qualifications
- Two (2) years’ experience providing direct services and/or providing administrative assistance to a non-profit program.
- Experience in managing and facilitating team meetings.
- Bilingual/biliterate in English and another language, particularly: Chinese, or Spanish.
