Chaloner is seeking a Project Manager to support our nationally based recruiting team throughout all aspects of the search process. The Project Manager reports to the Managing Director of the firm, and will be responsible for various search-related and administrative tasks including, but not limited to, talent identification, industry research, interview scheduling, document and presentation preparation, file sharing, and database management.
The Project Manager should bring a genuine interest in recruiting along with strong attention to detail, an understanding of exceptional client service, enthusiasm, flexibility, technological savvy and a desire to learn. This role offers exposure to a wide range of mission-driven organizations and the opportunity to contribute to search activities, research strategy, company operations, and future projects.
This role will be fully remote within the U.S. and may support recruiters across different U.S. time zones.
Responsibilities will include:
- Develop and implement strategic research plans to identify and source potential candidates using the Chaloner database, job boards, networking sites, and social media platforms to build robust candidate pipelines.
- Participate in client calls and meetings related to business development, search kickoffs, and weekly check-ins.
- Promptly schedule candidates for job interviews with clients and for prep calls with recruiters. Ensure that candidates have all necessary logistical information for their interviews (i.e., address, names/titles, video links, etc.).
- Maintain accurate and up to date records by entering candidate and client information into the Chaloner database from submitted resumes, research, lists, and other materials.
- Provide daily administrative support to recruiting partners which includes scheduling, correspondence, client and candidate documents, and other administrative tasks.
- Interact with clients and candidates in a professional, friendly, and respectful manner throughout all communication. Handle confidential information with the highest level of discretion.
- Develop or edit candidate summaries, promotional materials, job descriptions, and other written documents as necessary.
- Support business development efforts by proactively identifying new search opportunities.
- Enhance existing and develop new connections with industry associations, networking groups, university career services, and other relevant organizations.
- Keep abreast of news, events, and developments within both the recruiting and the mission-driven sector.
Qualifications of the successful candidate:
- 3-7 years of project management or equivalent professional experience. Experience in the recruiting function is a major plus.
- The ability to prioritize and manage activities on multiple fronts/projects while openly communicating the status of responsibilities. Create and maintain timelines and project manage searches effectively.
- An understanding of and/or strong interest in the mission-driven sector.
- Demonstrated client service experience or a strong service-oriented mindset is required.
- A strong writer with excellent grammar, precise proofreading, and editing skills. Excellent verbal communication skills to allow capable interaction with senior executives.
- Tech-savvy with ability to learn and utilize a talent management database or other system. Desired computer skills include Apple/Mac Platform, basic MSOffice (Word, Excel & PowerPoint), Google Suite, cloud computing, and virtual communications through Slack and video conferencing such as ZOOM, Microsoft Teams, and Google Meet.
- An interest in or demonstrated use of AI tools is a plus.

- Bachelor's degree or the equivalent.
Compensation and Benefits:
Salary Range: $65,000 - $80,000
Bonus: Project Managers are eligible for quarterly and annual bonuses based on company and individual performances.
