PROGRAM MANAGER

o Monday- Thursday: 11:00 AM – 7:30 PM EST.

o Friday: 10:00 AM- 3:00 PM EST.

o Full-time salary, 40 hours per week

Position Overview:

The Program Manager is a dynamic, multi-faceted role responsible for overseeing all aspects of the 21st Century Nita M. Lowey-funded initiatives at assigned program sites. This position requires exceptional organizational skills, creativity, and the ability to multitask in a fast-paced environment. The Program Manager ensures program success through effective site management, staff supervision, compliance adherence, participant recruitment, and close collaboration with the Program Director. This role reports directly to the Program Director and is crucial to achieving measurable program outcomes through targeted academic support, behavior improvement, family engagement, and strategic community partnerships.

Key Responsibilities:

Site Management & Operational Excellence

  • Oversee daily operations at assigned program sites, ensuring safe, enriching environments that meet or exceed state and federal program standards
  • Perform regular (Daily/Weekly) site visits across multiple locations to monitor program quality, address operational challenges, and implement improvement strategies
  • Manage site schedules, resources, and logistics to optimize program delivery and participant experience
  • Ensure all facilities maintain appropriate safety standards, supplies, and equipment
  • Develop and implement site-specific operational plans aligned with overall program objectives
  • Conduct regular site audits to identify and address potential compliance issues proactively

Staff & Volunteer Supervision

  • Directly supervise and mentor site staff including program coordinators, instructors/teachers, vendors, activity leaders, bus drivers, and volunteers
  • Conduct regular performance evaluations, providing constructive feedback and growth opportunities
  • Facilitate site staff meetings
  • Create and maintain staff schedules ensuring appropriate coverage and student-to-staff ratios
  • Manage timesheet approval and attendance tracking for all site personnel
  • Recruit, train, and supervise program volunteers, ensuring effective integration into program activities

Compliance & Data Management

  • Ensure strict adherence to all 21st CCLC (GaDoe) requirements and regulations
  • Maintain comprehensive documentation of program activities, attendance, and outcomes
  • Collect, analyze, and report program data to track Average Daily Attendance (ADA) and other key metrics
  • Support external evaluators by providing required data and facilitating site observations
  • Prepare and submit accurate, timely compliance reports to the Program Director
  • Maintain up-to-date knowledge of program requirements through regular training participation
  • Assist Program Director with preparation for all monitoring visits and compliance reviews
  • Ensure adherence to Georgia Childcare Services licensing requirements and afterschool accreditation standards

Participant Recruitment & Retention

  • Develop and implement creative recruitment strategies to meet enrollment targets
  • Establish and maintain tracking systems for participant enrollment and attendance
  • Design engaging program activities that promote consistent student participation
  • Implement participant feedback mechanisms to continuously improve program quality
  • Analyze attendance patterns and develop targeted interventions for at-risk participants
  • Collaborate with school partners to identify and recruit students most in need of services

Program Planning & Implementation

  • Assist Program Director in designing comprehensive program calendars for the academic year and summer sessions
  • Develop detailed implementation plans for academic support, enrichment activities, and family engagement events
  • Ensure alignment of program activities with grant objectives and student academic needs
  • Monitor program effectiveness through regular assessment of student progress
  • Implement evidence-based practices in youth development and academic support
  • Lead program innovation efforts by researching and recommending new curriculum and activities

Family & Community Engagement

  • Plan and execute monthly family engagement workshops and events at assigned sites
  • Develop and maintain strong relationships with parents/guardians through regular communication
  • Create and distribute program newsletters, updates, and resources to families
  • Coordinate community outreach activities to increase program visibility and support
  • Document all family and community engagement activities for compliance reporting
  • Track family participation and implement strategies to increase involvement

School & Community Partnerships

  • Serve as primary liaison between Future Foundation and school administrators at assigned sites
  • Conduct regular meetings with school partners to ensure program alignment with school-day curriculum
  • Build and maintain collaborative relationships with community organizations and potential partners
  • Facilitate advisory council meetings to gather feedback and strengthen program connections
  • Coordinate with school personnel to monitor student academic progress and behavior
  • Represent Future Foundation at school and community events to strengthen partnerships

Program Director Support

  • Provide regular updates and reports to Program Director on site operations and outcomes
  • Support Program Director in program-wide planning, compliance, and improvement initiatives
  • Participate in leadership team meetings to align site activities with organizational goals
  • Assist with budget monitoring and resource allocation across assigned sites
  • Support grant writing and reporting efforts by providing site-specific data and outcomes
  • Implement program changes and improvements as directed by Program Director
  • Lead site-level compliance preparation for all monitoring visits

Qualifications:

Education & Experience:

  • Bachelor's degree in Youth Development, Education, Social Work, or related field required; A combination of education and experience may be considered
  • Minimum 3 years of experience in youth program management, preferably in afterschool settings
  • Demonstrated experience with 21st CCLC or similar federally-funded education programs preferred
  • Proven track record in staff supervision, data management, and compliance reporting
  • Experience with family engagement programming and community outreach initiatives

  • Valid driver's license with reliable transportation for travel between program sites
  • Flexibility to work variable hours including evenings and occasional weekends

Certifications & Requirements:

  • CPR and First Aid certification (or ability to obtain within 30 days of hire)
  • Background check clearance
  • Ability to lift up to 25 pounds and engage in physical activities with youth
  • Experience with youth behavior management and positive discipline techniques
