If so, we invite you to consider joining our team as a Special Assistant to the Deputy Chiefs of Staff in the Pennsylvania Governor's Office. This is a unique opportunity to work at the heart of state government, assisting in the execution of key initiatives and providing invaluable support to our leadership team.
As a Special Assistant to the Deputy Chiefs of Staff, you will play a pivotal role in facilitating the efficient operation of the Pennsylvania Governor's Office. This is a highly dynamic and multifaceted position that requires exceptional organizational skills, the ability to handle a diverse range of tasks, and a commitment to public service. Your role will encompass four primary areas of responsibility:
- Scheduling/Logistics Assistance:
- Manage complex calendars for the Deputy Chiefs of Staff, coordinating meetings, appointments, and events.
- Arrange travel logistics, accommodations, and itineraries.
- Communicate effectively and professionally with a range of stakeholders, including those external to the Commonwealth.
- Ensure timely communication and follow-up on scheduling matters.
- Prioritize conflicting demands and adjust as needed to optimize productivity.
- Support for Briefings and Briefing Memos:
- Assist in preparing comprehensive briefing materials for the Deputy Chiefs of Staff.
- Conduct research and gather information to support decision-making processes.
- Collaborate with various teams across policy, legislative affairs, digital, and communications to compile data, draft reports, and create briefing memos.
- Review and edit documents for accuracy, clarity, and conciseness.
- Special Projects:
- Take an active role in special projects and initiatives as needed, providing research, analysis, and coordination.
- Work closely with the Deputy Chiefs of Staff to execute critical projects and achieve strategic goals.
- Manage project timelines and deliverables, ensuring that deadlines are met.
- Administrative Support:
- Provide general administrative support, including answering phone calls, managing email correspondence, and maintaining office supplies.
- Assist in organizing and coordinating meetings, conferences, and events.
- Handle confidential information with discretion and professionalism.
- Collaborate with other members of the Governor's Office to ensure seamless operations.
- Full-time, in-person employment.
- Work hours are 8:30 am to 5:00 pm, Monday - Friday, with 60-minute lunch.
- Given the always-on nature of the Governor's Office, work outside 8:30-5 is expected, when needed.

QUALIFICATIONS
Minimum Experience and Training Requirements:
- Exceptional organizational and time management skills.
- Strong attention to detail and the ability to manage multiple tasks simultaneously.
- Ability to work within and foster a collaborative team dynamic.
- Excellent written and verbal communication skills.
- Proficiency in Mac OS, Microsoft Office suites, and other relevant software.
- Commitment to upholding the highest standards of ethics and integrity.
- You must be able to perform essential job functions.
- Previous experience in a Special Assistant role in government/public administration.
- You must pass a background investigation.
