Job Description

Position Overview

The Manager is the primary operational lead for PCRF’s growing network of US chapters and student clubs, responsible for end-to-end execution across chapter support, event planning, communications, compliance, and reporting. Working closely with the Director, the Manager translates organizational strategy into day-to-day action, ensuring that chapter and student club leaders have the guidance, resources, and support they need to represent PCRF effectively in their communities.

Chapter and Student Club Operations

•     Serve as the primary day-to-day point of contact for all US chapters and student clubs, maintaining regular and proactive communication with chapter presidents and student club leaders.

•     Ensure all chapters and student clubs have timely access to PCRF’s Standard Operating Procedures, policies, guidelines, and organizational updates.

•     Conduct regular check-ins with chapter and club leadership to assess needs, surface challenges, and identify opportunities for stronger community engagement.

•     Support the Director in onboarding new chapter and student club leaders, delivering orientation on PCRF policies, procedures, core values, and mission.

•     Maintain an accurate and up-to-date roster of all chapter and student club leadership contacts, membership data, and activity records in coordination with the Admin Coordinator.

•     Support the quarterly and all national chapter affairs calls, including preparation of agendas, distribution of materials, note-taking, and follow-up on action items.

•     Review annual reports and plans submitted by chapter presidents, prepare summaries, and flag key issues for the Director’s review.

•     Ensure all chapters operate in alignment with PCRF’s nonpolitical, nonreligious, and democratic values and remain open to all volunteers who share the organization’s mission.

Event Planning and Fundraising Support

•     Support chapters and student clubs through the full event lifecycle — from initial planning and goal-setting through execution, budget management, and post-event reporting.

•     Review chapter event expense and budget forms for accuracy and completeness before submission to the Director and CEO for approval.

•     Develop and maintain a library of event planning templates, toolkits, and best practice resources for chapter and club use.

•     Track and report on fundraising performance and community activity across the network against targets set in coordination with the Director.

•     Ensure all chapter and student club fundraising activities comply with PCRF policies and procedures, escalating any concerns to the Director promptly.

•     Support chapters in their outreach efforts to medical professionals, corporate sponsors, potential host families, and local donors as directed.

Communications and Social Media Support

•     Provide hands-on communications and social media guidance to chapter and student club leaders, ensuring all external-facing content is accurate, consistent, and aligned with PCRF’s brand, voice, and current messaging guidelines.

•     With support from the Comms team, develop and distribute a regular communications calendar and approved content toolkit for chapter and club use.

•     Orient and support chapter IT/PR media spokespeople on PCRF talking points for media engagement, social media use, and community event documentation, in coordination with the Director.

•     Monitor chapter and student club social media activity to ensure ongoing compliance with PCRF’s communications policies.

•     Ensure chapter members receive timely training on social media best practices and are kept current with any changes to PCRF policies and procedures.

•     Serve as the first point of contact for chapter-level media inquiries, escalating to the Director or designated spokesperson as appropriate.

Compliance and Policy Adherence

•     Ensure all chapters and student clubs operate in accordance with PCRF’s Standard Operating Procedures, Volunteer Code of Conduct, branding guidelines, and fundraising protocols.

•     Maintain accurate records of chapter and club compliance with required training, reporting obligations, and documentation requirements.

•     Support the Director in the ongoing review, documentation, and updating of policies and procedures for chapter coordination and PCRF management.

•     Log and track any compliance concerns or policy issues, resolving where possible and escalating to the Director with a clear summary and recommended course of action.

Student Club Development

•     Support the establishment and growth of PCRF student clubs under local chapter umbrellas in schools and universities, in coordination with chapter presidents and the Director.

•     Ensure student club leaders are properly oriented, trained, and connected to the resources they need to operate effectively.

•     Track student club activity, engagement, and fundraising performance and maintain accurate records.

Team Management and Reporting

•     Provide day-to-day supervision, task assignment, and ongoing support to the Coordinator, delegating clearly defined responsibilities and maintaining accountability for quality and timeliness.

•     Prepare regular status reports for the Director covering network health, chapter and club activity, fundraising performance, communications, and any outstanding issues.

•     Support the Director in setting and monitoring chapter targets for community activity, media presence, and outreach.

•     Contribute to the development of annual goals, operational plans, and performance metrics for the chapter and student club program.

•     Other duties as assigned by the Director of Chapters and Community Engagement.
