Job Summary:

  • The Operations and Scheduling Manager’s responsibilities include providing administrative and operational support, but not limited to managing the Council Member’s schedule, providing support in coordination of daily briefing materials
  • The Manager supports the Member, the Chief of Staff (COS) and both Legislative and District-based staff in a variety of tasks related to organization and communication
  • This role is responsible for handling confidential and time-sensitive material
  • The ability to effectively communicate via phone and email ensuring that all duties are completed accurately and delivered with high quality and in a timely manner
  • Manage calendar of meetings and community events
  • Assist with the development and implementation of district events and programs
  • Answer and direct incoming calls
  • Assist constituents and aid visitors and guests to the office
  • Maintain and manage contact lists and databases
  • Produce and distribute correspondence when requested
  • Take accurate minutes of meetings
  • Receive, sort and distribute mail
  • Exercise good judgment, work well with others in a fast-paced environment and creatively
  • Plan to accomplish goals to advance the Member’s strategic objectives
  • Attend events and meetings with, or on behalf of, the Councilwoman, including on some weekends and/or during evenings
  • Bilingual a plus
  • Driver's license and car a plus

The ideal candidate for the Operations and Scheduling Manager position should possess strong administrative and organizational skills. Experience in providing support to high-level executives or government officials is preferred. They should have excellent communication skills, both verbal and written, with the ability to handle confidential information and communicate effectively via phone and email. A keen attention to detail and the ability to work efficiently in a fast-paced environment are essential. Experience in managing schedules, coordinating events, and interacting with constituents is highly desirable. Additionally, proficiency in office software and databases is required. The candidate should be adaptable, able to exercise good judgment, and work collaboratively with a diverse team. Availability to work occasional weekends or evenings may be necessary. Experience with legislative processes or community engagement initiatives is a plus. A bachelor's degree in a relevant field or at least 3 years experience is required.

Job Type: Full-time

Pay: $55,000.00 - $60,000.00 per year
