Federal Government Relations Coordinator

The Coordinator will provide a broad range of support to the Vice-President for Federal Government Relations and the Federal Government Relations Legislative and Executive Branch team. The successful candidate will thrive in a fast-paced environment; have familiarity with how Congress and the Executive Branch work, have excellent communication skills and the ability to work with internal and external senior leaders, using discretion to maintain the highest level of confidentiality.
ROLE RESPONSIBILITIES
This role supports the Vice-President for Federal Government Relations and the Federal Government Relations Legislative and Executive Branch team and requires flexibility and the ability to work in a fast-paced environment, dealing with senior level internal and external executives in highly confidential matters, and requires the utmost discretion and judgment. Successful candidates will be highly organized, detail oriented with strong computer skills in Microsoft Outlook, Word and Powerpoint. Key responsibilities include, but are not limited to:
Manage FGR budget, including consultant contracts and funding requests
Schedule external and internal meetings for Vice President and team members, and follow up on outstanding meeting requests
Proactively manage calendar for VP and team members; review daily calendars, ensure relevant materials for meetings and conference calls are available and printed for team members
Facilitate in-house meetings, including food ordering, set up and break down, and material printing and distribution, as appropriate
Compile and submit quarterly lobby reports and semi-annual lobbyist contribution reports for VP and team members
Make and edit travel arrangements for VP and team members; air/train/ground/hotel
Prepare travel itineraries for team members as necessary
Complete draft expense reports for VP and team members in a timely manner; follow up to ensure team members submit reports on time
Prepare briefing books for team members for CEO and ELT meetings in DC, as well as for PhRMA meetings, and other meetings as required
Compile inventory of CEO and ELT member Hill and Administration meetings
Conduct research as needed by team members: including news articles, Congressional statements, hearing notices, press releases, etc.
Edit Memos, letters, etc.
Take initiative on ensuring team members are appraised of relevant newsworthy items relative to meetings scheduled.
Working with the other DC support staff, share in the coordination of other Pfizer Business Unit meetings held in DC Office Conference Rooms; including set up and break down, and material printing and distribution, as appropriate
QUALIFICATIONS
Three years of experience that demonstrates the ability to carry out technical and administrative functions described in job responsibilities. Bachelor’s Degree preferred
Must be independent, proactive, and self-motivated demonstrating strong organizational, interpersonal, and communication skills both written & verbal with internal and external senior executives
Work experience in Congress, the Federal Government or Trade Associations to understand how Congress and the Executive Branch work is preferred
Strong work ethic, excellent judgment and the ability to work with highly sensitive information while maintaining confidentiality at all times
Comfortable working in a fast-paced environment, with the ability to multi-task and adapt quickly to changing priorities
Ability to take direction and work with minimal oversight
Proficient in Microsoft Outlook, Word, and Powerpoint
